Purchase Assistant

Job Description

JThe Purchase Assistant will support operations department by assisting with the purchasing of materials, goods, and services required for the efficient operation of the shipping agency. This role involves coordinating with suppliers, managing inventory, and ensuring that purchases meet the company's quality and cost standards.

• Communicate with suppliers to obtain quotes, negotiate prices, and ensure timely delivery of goods.
• Maintain and update a database of suppliers and vendors.
• Evaluate supplier performance and resolve any issues that arise.
• Prepare and process purchase orders in accordance with company policies and procedures.
• Ensure all purchase orders are approved and recorded accurately.
• Track the status of orders and follow up with suppliers as necessary.
• Monitor inventory levels to ensure an adequate supply of materials and products.
• Conduct regular inventory checks and reconcile discrepancies.
• Assist in managing stock levels and making recommendations for reorder points.
• Maintain accurate records of purchases, pricing, and other important data.
• Ensure all procurement documentation is filed and archived appropriately.
• Assist in preparing reports and analyses related to procurement activities.
• Assist in managing budgets and reducing procurement costs.
• Identify opportunities for cost savings and process improvements.
• Ensure that all purchases are made within the allocated budget.
• Ensure all purchases comply with company policies and industry regulations.
• Assist in conducting quality checks on received goods to ensure they meet required standards.
• Address any quality issues with suppliers promptly.
• Work closely with other departments to understand their procurement needs and provide support.

Qualifications:

• High school diploma or equivalent; a degree in business, supply chain management, or a related field is a plus.
• Previous experience in a purchasing or procurement role, preferably within the shipping or logistics industry.
• Strong communication and negotiation skills.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
• Familiarity with procurement software and inventory management systems.
• Excellent organizational and time-management skills.
• Attention to detail and accuracy in work.
• Ability to work independently and as part of a team.

Pay: AED 2,000 - AED 2,500 per month
