Job Title: Proposal Coordinator Location: Kuwait Reports To: Sales & Marketing Manager

Position Overview: The Proposal Coordinator is responsible for the development, coordination, and submission of high-quality proposals, tenders, and qualification packages tailored to meet the needs of commercial and government market segments. The role requires collaboration with multiple departments to ensure proposals are competitive, comprehensive, and aligned with company standards. Additionally, the Proposal Coordinator will assist with marketing initiatives, trade show coordination, and administrative tasks to support the Sales & Marketing team.

Key Responsibilities:

1. Proposal and Tender Development Identify and track new opportunities published in newspapers, customer websites, and other channels. Coordinate and prepare proposals, tenders, and qualification packages from start to finish, ensuring alignment with client expectations and company standards. Gather technical inputs from project managers, HR, and other relevant departments to craft comprehensive submissions. Ensure timely submission of all proposals and tenders, meeting strict deadlines. Follow up with clients post-submission to address queries and monitor progress.

2. Data and Documentation Management Maintain and update customer relationship data in Salesforce to ensure accurate and current information. Organize and manage proposal-related documents, records, and correspondence using SharePoint. Keep filing systems updated, including records of fixed assets, bank guarantees, and other important documentation.

3. Marketing and Administrative Support Assist in the development of marketing materials, including brochures, presentations, and special project content. Coordinate logistics and materials for trade shows, conferences, and marketing events. Support the formatting, reproduction, and distribution of technical marketing materials. Contribute to the creation of work orders and purchase orders for suppliers as needed.

4. Compliance and Quality Control Ensure all proposals and marketing materials comply with client specifications, industry standards, and company branding guidelines. Maintain a high standard of quality in proposals, ensuring consistency, accuracy, and professional presentation. Protect company operations by maintaining confidentiality in handling sensitive information.

5. HSE (Health, Safety, and Environment) Requirements Comply with legal and company-specific HSE policies, procedures, and regulations. Ensure personal work areas are safe and hazard-free. Report hazards, incidents, or unsafe practices immediately and participate in devising suitable control measures.

6. Team Collaboration and Business Development Collaborate with internal departments such as HR, Accounting, and QHSE to gather inputs for proposals. Build and maintain positive relationships with clients, ensuring outstanding customer service. Actively participate in team meetings and knowledge-sharing initiatives to improve proposal processes.

7. Self-Management and Professional Development Manage tasks independently with minimal supervision in a fast-paced environment. Maintain a positive, proactive attitude and handle multiple assignments with accuracy and attention to detail. Stay updated on industry trends and enhance expertise through training and professional development opportunities.

Qualifications and Skills: Education: Bachelor's degree (or equivalent). Language Proficiency: Fluent in English (Arabic is a plus) Experience: Minimum 3+ years in proposals, tenders, business development, or a related field. Familiarity with industries such as Oil & Gas, Power, Process Industry, or Construction is an advantage. Technical Knowledge: Strong understanding of proposal processes and technical writing. Knowledge of engineering, verification, and certification activities is beneficial. Skills: Excellent organizational, time management, and communication skills. Detail-oriented with strong analytical and reporting abilities. Ability to handle multiple tasks under pressure while meeting deadlines. Proficiency in tools like Salesforce, SharePoint, and Microsoft Office Suite.
