Property Management Manager Key Responsibilities
1. Client Communication
• Respond to all client queries and complaints within 24 hours or withing the promised time.
• Provide regular updates to property owners on the status of their properties.
2. Property Maintenance and Inspections
• Conduct routine inspections for all managed properties.
• Coordinate and oversee maintenance and repair activities.
• Ensure timely resolution of maintenance requests.
3. Rental Collection
• Track and follow up on rental payments.
• Ensure all rental income is collected on time.
• Handle delinquent accounts and coordinate with legal teams if necessary.
4. Tenant Management
• Screen and select prospective tenants.
• Prepare and manage lease agreements.
• Handle tenant move-ins and move-outs.
• Address tenant issues and complaints.
5. Administrative Duties
• Maintain accurate records of all property transactions and activities.
• Update property listings and client information.
• Ensure all documentation (inc. soft copies) is filed correctly and securely.
6. Financial Management
• Prepare and review financial statements related to property management.
• Monitor and manage property budgets and expenses.
• Provide financial reports to property owners.
7. Marketing and Leasing
• Develop and implement marketing strategies for vacant properties.
• Coordinate with marketing teams to promote properties.
• Conduct property showings and lease negotiations.
8. Compliance and Risk Management
• Ensure compliance with all relevant property management laws and regulations.
• Conduct regular risk assessments to identify and mitigate potential risks.
• Maintain up-to-date knowledge of industry standards and practices.
9. Portfolio Management
• Assess the performance of the property portfolio.
• Identify opportunities for portfolio growth and improvement.
• Develop and implement strategies to maximize property value.
10. Team Management
• Train and develop property management staff.
• Conduct regular team meetings to discuss ongoing tasks and challenges.
• Monitor team performance and provide feedback.
11. Client Satisfaction
• Conduct regular follow-up calls with clients to ensure satisfaction with services provided.
• Address any issues or concerns raised by clients.
• Implement strategies to improve client satisfaction.
• Document client feedback and maintain high ratings.
Requirements / Qualifications:
• Bachelor's degree in Property Management, Real Estate, Business Administration, or related field.
• Minimum of 8 years of experience in property management, with at least 5 years in a managerial role.
• Strong leadership and management skills.
• Excellent communication and interpersonal abilities.
• Proficiency in property management software.
• Strong financial acumen and budgeting skills.
• Ability to handle multiple tasks and prioritize effectively.
• Knowledge of local, state, and federal property regulations.
