Key Responsibilities

:

Tenant Relations

: Serve as the primary point of contact for tenants and prospective tenants. Address tenant concerns or complaints and work to resolve issues in a timely and professional manner. Assist with tenant move-ins and move-outs, ensuring proper documentation and smooth transitions. Help with lease renewals, ensuring tenants are aware of renewal terms and deadlines.

Maintenance Coordination

: Receive and prioritize maintenance requests from tenants, ensuring timely responses and resolutions. Coordinate with maintenance teams or external contractors to schedule repairs or preventative maintenance. Track the status of repair work and ensure that it is completed on time and within budget. Perform property inspections to assess maintenance needs or verify completion of repairs.

Leasing and Documentation Support

: Assist with the preparation and administration of leasing documents, including applications, leases, and renewals. Ensure all leases are up-to-date, signed, and filed properly. Help with the tenant screening process, including background checks and reference verification. Maintain accurate records of property-related documents, payments, and correspondence.

Financial Administration

: Assist in tracking rent payments and follow up with tenants on overdue payments. Prepare and maintain financial reports related to property expenses, income, and budgets. Help process invoices, and vendor payments, and assist in managing property budgets.

Property Inspections and Compliance

: Coordinate regular property inspections to ensure compliance with building codes, safety regulations, and landlord-tenant laws. Ensure properties are kept in good condition, with regular upkeep of common areas and amenities. Ensure compliance with environmental and safety standards and take corrective action when needed.

Marketing and Leasing Support

: Help with marketing available units, including creating property listings and working with marketing teams. Assist in showing properties to prospective tenants, answering questions, and explaining lease terms. Track property vacancy rates and assist in implementing strategies to reduce turnover.

Vendor and Contractor Management

: Coordinate with third-party vendors and contractors for services like cleaning, landscaping, and maintenance. Obtain quotes, manage contracts, and track vendor performance. Ensure service contracts are properly maintained and adhered to.

General Administrative Support

: Maintain property files and databases with up-to-date tenant information, lease agreements, and maintenance requests. Handle general office duties, including answering phones, filing documents, and preparing correspondence. Assist the property management team with administrative tasks as needed.

Required Skills and Qualifications
