Key functional activities
Conduct all business in accordance with company policies and procedures and provide support for all aspects of day-to-day activities towards assigned properties.
Offer letter preparation in coordination with the leasing team.
Update Tenant Information Form and collect all relevant documents from the respective tenant.
Prepare tenancy contract and issuance of receipts through ERP and registration of tenancy contracts in government portals.
Responsible for collection of security deposits, rental cheques and other charges such as utilities, renewal charges, penalties as stipulated in the lease agreement & handing over the same to Finance department.
Maintain and update data of issued access cards, remote controls, underground parking etc.
Draft notices (renewals, rent collections, bounced cheques etc.) and follow-up with delinquent tenants to ensure timely collections. Necessary legal actions to be taken as per the SOP.
In case of bounced cheques, follow-up with customer to ensure collections/appropriate follow up actions.
Maintain and update property master file and individual resident unit files.
Ensure smooth handover of property to Tenants by liaising with Facilities Management for snagging and pre-handover formalities.
Ensure minimal loss revenue/ revenue days by Marketing and following up with potential prospects.
Minimizing the leasing cycle, i.e., time taken between enquiry and signing of tenancy agreements.
Responding to tenants inquires and queries.
Drafting circulars and distributing them in properties under management.
Expired or Missing documents follow-up.
Review rent reduction requests, obtain approval from APM and respond to tenant accordingly.
Ensure excellent tenant relationship through superior customer service.
For all maintenance complaints coordinate with facility management team and assuring complaints are attended and requests from tenants are closed in a measurable time frame. Maintain register / log of tenant complaints.
Check-out process to be followed up with FM team and ensure collection of payments towards damage charges from tenant.
Proper exit check of the tenant before issuing the Deposit back to the same.
Monitor and keep track of vacant units and update leasing team.
Other Company related duties that may be assigned by the management that are consistent with the department and Company mandate.
