: Production Specialist (Event, Exhibitions, and Advertising Company)

A Production Specialist in an Event, Exhibitions, and Advertising company is primarily responsible for overseeing the logistical and technical aspects of production for various events, exhibitions, and advertising campaigns. This role involves working closely with different departments, managing resources, and ensuring that all production elements are executed according to client expectations, timelines, and budgets. The Production Specialist plays a critical role in delivering high-quality, successful events and campaigns that align with the client's objectives and brand identity.

Key Responsibilities:1. Project Management:

• Planning and Coordination : Collaborate with project managers, designers, and other departments to plan production timelines, milestones, and deliverables for events and exhibitions.
• Resource Allocation : Ensure proper allocation and management of resources (materials, equipment, personnel) to meet production schedules.
• Client Communication : Act as a liaison between clients and the production team to clarify requirements, communicate progress, and address any concerns or changes.

2. Production Oversight:

• On-Site Management : Supervise on-site production activities for events and exhibitions, including setup, logistics, and installation. Ensure that the production is running smoothly, on time, and within budget.
• Quality Control : Ensure that all production elements (stages, booths, displays, signage, audio-visual elements, etc.) meet the quality standards, and that client expectations are met or exceeded.
• Problem-Solving : Troubleshoot any issues that arise during production, resolving challenges related to logistics, materials, equipment, or timelines.

3. Vendor and Supplier Management:

• Vendor Coordination : Source and manage external vendors and suppliers, including fabricators, AV technicians, lighting specialists, construction teams, and transportation services.
• Contracts and Negotiations : Assist in negotiating contracts, pricing, and delivery terms with suppliers and service providers.
• Inventory Management : Oversee the inventory of materials, props, and equipment needed for events and exhibitions.

4. Budget Management:

• Budget Planning : Work with the production and finance teams to establish and manage production budgets.
• Cost Control : Monitor and control costs during the production process to ensure that the project stays within budget while maintaining quality and client satisfaction.
• Reporting : Provide regular updates and final reports on budget status, expenses, and any variances.

5. Scheduling and Timeline Management:

• Timeline Development : Develop and maintain detailed production schedules, ensuring that all elements are delivered and installed on time.
• Deadline Management : Coordinate the timely delivery of materials, equipment, and personnel to ensure that deadlines are met and the event or exhibition opens on time.

6. Health and Safety Compliance:

• Safety Protocols : Ensure that all production activities comply with local safety regulations and industry standards.
• Risk Management : Assess potential risks during production and implement strategies to mitigate them, ensuring the safety of all workers and attendees.

7. Collaboration and Teamwork:

• Cross-Department Collaboration : Work closely with marketing, design, logistics, and creative teams to ensure that the production aligns with the overall vision of the event or campaign.
• Team Supervision : Lead and direct a team of production assistants, technicians, and other staff during the production process.

8. Post-Event Evaluation:

• Debriefing : Participate in post-event evaluations to review the production process, gather client feedback, and identify areas for improvement.
• Post-Event Dismantling : Oversee the dismantling and packing of materials after the event or exhibition has concluded, ensuring everything is returned or stored properly.

Skills and Qualifications:

• Experience : Proven experience in event production, exhibition management, or advertising production, ideally within an agency or event management company.
• Project Management : Strong organizational and multitasking abilities, with the capability to manage complex projects under tight deadlines.
• Technical Knowledge : Familiarity with event technologies, such as AV systems, lighting, staging, and interactive displays.
• Problem-Solving : Ability to handle unexpected challenges and provide timely solutions.
• Communication : Excellent communication skills, both written and verbal, with the ability to coordinate across multiple teams and vendors.
• Budgeting : Experience managing budgets and cost control in event production.
• Attention to Detail : High level of attention to detail in production, installation, and execution.
• Creativity : Ability to think creatively to ensure that the final product meets or exceeds client expectations.
• Health and Safety Awareness : Knowledge of health and safety protocols in event production.

Education and Certifications:

• A bachelor's degree in Event Management, Marketing, Business Administration, or a related field is often preferred.
• Certifications in project management (e.g., PMP) or safety (e.g., OSHA) are beneficial.
• Knowledge of design software (AutoCAD, Adobe Creative Suite, etc.) or project management tools (Trello, Asana, Monday.com) can be advantageous.
