Project Coordinator
Reports to: Projects Manager
Job Summary:
As a Project Coordinator, you will work closely with the Projects Manager to ensure the successful execution and management of multiple projects. Your role will involve organizing and coordinating various aspects of project work, ensuring all tasks are completed on time and within scope. You will also be expected to visit project sites, oversee on-ground activities, and ensure seamless communication between the office and the site teams.
Specific Duties and Responsibilities:
• Provide Analytical Support: Assist the Projects Manager with analysis and insights to support the execution of assigned projects.
• Project Tracking: Monitor and track project progress both in the office and on-site, ensuring all activities are completed on time, and addressing any delays promptly.
• Site Supervision: Conduct regular site visits to monitor the progress of on-site work, ensure adherence to project plans, and identify potential issues or delays.
• Meeting Attendance and Follow-up: Attend project meetings, both in-office and on-site, track action items, and follow up on outstanding tasks to ensure timely completion.
• Project Scope Understanding: Develop a deep understanding of the project's scope, including key timeframes, financial aspects, objectives, and desired outcomes.
• Documentation Management: To prepare thorough project documentation, including project plans, status reports, meeting minutes, site inspection notes and updates and other essential documents. Ensure that records are updated regularly and stored appropriately.
• Communication Management: Facilitate clear communication between all project stakeholders, including team members, contractors, and clients. Follow ups on items and provide updates and ensure that everyone is aligned with the project's goals and timelines.
• Correspondence and Documentation: Oversee project-related communications, including drafting and reviewing emails, meeting notes, and other documents, ensuring information flow between the office and the site teams.
• Contract and Invoice Management: Review and ensure compliance with contract requirements, and process project invoices efficiently.
• Health and Safety Oversight: Ensure that all on-site activities comply with health and safety regulations, reporting any concerns to the Projects Manager.

• Interpersonal and Communication Skills: Excellent verbal and written communication skills in both English and Arabic, with the ability to collaborate effectively across teams, including site personnel.
• Documentation and Site Management: Proven experience managing project records, reports, and coordinating site activities efficiently.
• Site Supervision and Coordination: Strong on-site coordination and monitoring skills, with experience in managing site progress and resolving issues.
Project Coordinator Requirements:
• Project Management and Site Experience
Minimum of 3+ years of experience in project management or coordination, with significant site experience across different sectors (especially in real estate).
• Educational Background:
A degree or Bachelor of Engineering or Architecture, Construction Management, or a related field.
• Bilingual Proficiency:
Fluent in both English and Arabic.
• Business Planning and Strategic Analysis:
Preferred knowledge of business planning, strategic analysis, or financial modelling.
• Operational and Site Experience:
Experience with operational aspects and on-site project management will be an added advantage.
• MS Office Skills:
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, etc.).
This role is ideal for someone who is organized, proactive, and capable of managing both office-based and on-site project activities to ensure smooth execution and successful project outcomes.
Job Type: Temporary
Contract length: 6 months
Pay: AED6,000.00 - AED8,000.00 per month
