Job Description

The Project Coordinator for Fit-Out is responsible for supporting and assisting in the planning, coordination, and execution of fit-out projects. This role involves managing timelines, budgets, and ensuring the delivery of high-quality construction and design services for commercial, retail, or residential fit-outs.

Key Responsibilities:



Project Planning & Coordination:

Assist in the development of project plans and schedules. Coordinate between internal teams, contractors, designers, and clients to ensure all project goals are met on time. Maintain and track project documentation, including contracts, design drawings, and reports.

Budget and Cost Management:

Monitor and track the project budget, helping to ensure that costs stay within allocated limits. Assist in obtaining quotes, negotiating with vendors, and managing procurement processes. Review and process invoices related to the project.

Quality Assurance & Compliance:

Ensure that fit-out works adhere to project specifications and quality standards. Monitor work progress to ensure compliance with legal and regulatory requirements. Maintain records for compliance checks and inspections.

Communication & Stakeholder Management:

Act as the key point of contact between clients, suppliers, and contractors. Organize and attend project meetings, documenting minutes and tracking action items. Provide regular updates to clients and senior management on the progress of the project.

Risk Management:

Identify potential risks and issues impacting the project timeline or budget. Work with the project manager to develop mitigation plans.

Site Management & Supervision:

Coordinate with site managers to ensure timely and effective project execution. Oversee site activities and ensure adherence to safety regulations and best practices.

Vendor and Contractor Management:

Liaise with subcontractors and suppliers, ensuring timely delivery of materials and services. Ensure that contractors perform their duties in line with contractual agreements.

Documentation & Reporting:

Maintain up-to-date project files, including drawings, schedules, and contracts. Prepare and present progress reports, both written and verbal, to management and clients.

Skills and Qualifications:



Education:

Bachelor's degree in Project Management, Construction Management, or related field.

Experience:

2-4 years of experience in project coordination or fit-out management.

Technical Skills:

Familiarity with project management software (e.g., MS Project, Procore). Knowledge of construction and fit-out procedures, regulations, and best practices.

Communication Skills:

Excellent written and verbal communication skills.

Problem-Solving Skills:

Ability to quickly identify issues and propose solutions.

Organizational Skills:

Strong attention to detail and the ability to handle multiple tasks simultaneously.
