Were bridging two worlds, moving towards more sustainable energy sources, while helping to provide the energy, chemicals and resources needed now.Key Accountabilities\xc2\xb7 Keeps meeting schedule and assists Office director in daily operations\xc2\xb7 Provides administrative support to projects and their execution as necessary\xc2\xb7 Provides administrative support to ensure efficient operation of office.\xc2\xb7 Coordinate with HSE and HR for the latest Covid office protocols and implement accordingly.\xc2\xb7 Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate office/personnel.\xc2\xb7 Monitoring and purchasing of office and pantry supplies.\xc2\xb7 Maintain record of office expenses and submit expense claims.\xc2\xb7 Coordinating and managing appointments, meetings, and the conference room schedule in order to prevent duplicate bookings.\xc2\xb7 HotDesk+ Superuser. Register new users to Dubai team.\xc2\xb7 Overseeing the maintenance of office facilities, and equipment.\xc2\xb7 Coordination with IT and HR for staff mobilisation and demobilisation\xc2\xb7 Conduct basic HSE orientation and office tour for new stater and first-time office visitors.\xc2\xb7 Update HSE Board (fire warden and first aider contacts, office guide in case of emergency, important contacts, etch)\xc2\xb7 Reporting and coordinating IT issues\xc2\xb7 Manage and coordinate logistics of IT stuff and documents from Abu Dhabi Office to Dubai Office\xc2\xb7 Provide support to proposals by collating and updating CVs, formatting of documents, and gathering informations.\xc2\xb7 Updating the Dubai office staff contact list and email distribution list.\xc2\xb7 Support managers in entering and updating opportunities in CSP\xc2\xb7 Coordinate and update project data sheets.QualificationsEducation - Qualifications, Accreditation, Training:\xc2\xb7 General secretarial experience\xc2\xb7 Excellent written and verbal communication skills\xc2\xb7 Experience in Microsoft Office suite of products\xc2\xb7 Intermediate / Advanced word and excel skills\xc2\xb7 Able to operate in a team environment with proven ability\xc2\xb7 Able to undertake tasks with minimum supervision\xc2\xb7 Able to coordinate activities to meet deadlines in a timely fashionMoving forward togetherWere committed to building a diverse, inclusive and respectful workplace where everyone feels they belong, can bring themselves, and are heard.
