Job Summary:

As a Procurement Specialist, you will play a pivotal role in ensuring the seamless and cost-effective flow of goods and services across our various business units. You will be responsible for overseeing procurement and supply chain activities in the Beauty & Health, Food & Beverage, Interiors & Decorations, and Mall Management/Real Estate sectors. Your strategic and operational expertise will be essential in driving efficiency, cost savings, and supplier relationship management.

Key Responsibilities:

Strategic Sourcing : Develop and execute procurement strategies for each business unit, aligning with overall company goals. Identify cost-saving opportunities through strategic sourcing, negotiations, and vendor management. Maintain a diverse and reliable supplier base to ensure continuity of supply.

Purchase Order Management : Collaborate with branch teams to assess procurement needs and raise purchase orders (POs) accordingly. Seek approval from Chief Operations Officer (COO) and Operations Director (Saloons), for all purchase orders to ensure alignment with company objectives.

Goods Receipt Note (GRN) Processing : Oversee the generation and management of Goods Receipt Notes (GRNs) for all received orders, maintaining accurate records of incoming inventory.

Stock Transfer Note (STN) Coordination : Efficiently manage the issuance of Stock Transfer Notes (STNs) to branches in line with Stock Transfer Requests (STR), facilitating timely and precise stock transfers.

Daily Market Analysis : Conduct daily market analysis to monitor market trends, pricing fluctuations, and emerging opportunities. Perform random market visits or inspections, as per the directives of the Chief Operations Officer (COO) or the Operations Director (Saloons).

Cost Analysis and Control : Develop and manage budgets for procurement and supply chain operations. Perform in-depth cost analysis to monitor and control procurement expenses effectively. Report on cost performance regularly/as required.

Sales vs. Product Utilization Analysis : Conduct regular analysis to compare sales data against product utilization. Prepare comprehensive reports and share insights with the Management to inform decision-making.

Vendor Management : Engage in active vendor management, including discussions on product status, price negotiations, and tracking pending stock arrivals. Foster strong relationships with vendors to ensure the reliability of the supply chain.

Contract Management : Oversee contracts with both vendors and internal stakeholders, including management of rebates, discounts, and Free of Charge (FOC) agreements. Ensure strict adherence to contract terms and conditions.

Consignment Reporting : Prepare and send consignment reports to both vendors and relevant authorities as required.

Maintenance Coordination : Coordinate maintenance requirements for branch equipment, facilitating repairs and servicing by approved vendors.

Warehouse Team Collaboration : Collaborate closely with the warehouse team to manage product receiving and dispatch. Oversee stock audits, stock refilling, and manage non-moving inventory exchanges, among other related responsibilities.

Compliance and Risk Management : Ensure compliance with relevant regulations and industry standards. Mitigate supply chain risks by developing and executing risk management plans. Continuously monitor global market trends and supply chain disruptions.

Education & Qualifications:

• Bachelor's degree in Business Administration, Supply Chain Management, or a related field. A master's degree is a plus.
• 6+ Years of Proven experience as a Procurement Manager, preferably in the spa, salon, beauty, or wellness industry.
• Strong knowledge of spa and skincare products, equipment, and services.
• Demonstrated experience in ERP systems, good MS-Excel skills
• Excellent negotiation and vendor management skills.
• Solid understanding of procurement processes, contract management, and supply chain best practices.
• Strong organisational and time-management abilities.
• A commitment to ethical procurement practices and sustainability.

Technical Skills:

Enterprise resources software -- Procurement/Supply Chain Management Software

MS Office Software proficiency (Excel, Outlook, PowerPoint)

Video conferencing software -- Zoom

Education/Qualification:

Bachelor's degree in Supply Chain Management, Business Administration, or a related field (MBA or relevant Procurement/Supply Chain certifications are a plus).

Minimum five (5) years of Proven experience as a Procurement/Supply Chain Manager, ideally in diverse sectors such as Beauty & Health, Food & Beverage, Interiors & Decorations, and Real Estate.

In-depth knowledge of industry best practices and emerging trends.

Exceptional problem-solving and conflict resolution abilities.

Detail-oriented and well-organized.

Other Requirements: UAE Driving License (preferred)
