We are seeking a Procurement Officer with 5-10 years of experience in interior fit-out contracting or construction companies in the UAE. The ideal candidate will have a solid understanding of sourcing materials, negotiating with suppliers, and managing procurement processes for large-scale fit-out projects. The Procurement Officer will be responsible for ensuring that all materials and services are sourced and procured on time, within budget, and in accordance with project specifications and quality standards.
The role requires strong negotiation skills, experience in vendor management, and the ability to coordinate closely with project teams, suppliers, and subcontractors to ensure that all procurement activities are executed efficiently.
Key Responsibilities:
• Procurement Planning & Strategy:
• Develop and implement procurement strategies that align with project requirements and company objectives.
• Coordinate with project managers, engineers, and designers to understand material specifications and delivery timelines.
• Prepare and manage procurement schedules, ensuring materials are available when needed and that project timelines are met.
• Sourcing & Supplier Management:
• Source and identify reliable suppliers and subcontractors for materials, equipment, and services required for interior fit-out and construction projects.
• Conduct market research to identify cost-effective suppliers, evaluate new suppliers, and ensure competitive pricing for all materials.
• Negotiate terms and conditions with suppliers, ensuring favorable prices, quality, and delivery schedules.
• Establish and maintain strong relationships with vendors and subcontractors to ensure the best deals and reliable service.
• Request for Quotations (RFQ) & Purchase Orders:
• Prepare and issue Request for Quotations (RFQs) for materials, tools, equipment, and services.
• Evaluate vendor quotes based on cost, quality, and lead time, and make informed recommendations to the project team.
• Prepare and process purchase orders (POs) in accordance with project requirements and budget.
• Track and manage the approval process for procurement orders, ensuring timely approvals and documentation.
• Inventory Management:
• Monitor and maintain inventory levels of critical materials and equipment on-site to ensure smooth project operations.
• Work closely with the logistics team to ensure proper storage, handling, and management of materials and supplies.
• Coordinate with warehouse teams to track stock levels and manage procurement needs based on project timelines.
• Cost Control & Budget Management:
• Ensure all procurement activities are carried out within the allocated project budget.
• Track procurement expenses and report any discrepancies or potential cost overruns to senior management.
• Implement cost-saving strategies where possible while maintaining material quality and project standards.
• Maintain accurate records of procurement transactions, contracts, and related documents for internal audits and reporting.
• Vendor & Contract Management:
• Manage vendor contracts, ensuring compliance with agreed terms and conditions.
• Address any issues or disputes with suppliers in a timely and effective manner to avoid project delays.
• Ensure that all supplier and subcontractor agreements are executed and maintained according to company policies and project needs.
• Documentation & Compliance:
• Ensure all procurement activities comply with company policies, industry standards, and local regulations.
• Maintain detailed procurement records, including contracts, purchase orders, delivery receipts, and payment schedules.
• Prepare and submit regular procurement reports to senior management, highlighting project procurement status and any issues or delays.
• Coordination with Project Teams:
• Collaborate closely with the project management and site teams to ensure that the procurement process aligns with project schedules.
• Address any changes in project scope, material requirements, or delivery schedules promptly and adjust procurement strategies accordingly.
• Provide support to the project team in resolving material shortages, delays, or other procurement-related challenges.
• Risk Management:
• Identify potential risks in the procurement process, such as supplier delays, price fluctuations, or quality issues, and develop strategies to mitigate these risks.
• Keep track of market trends, material prices, and supply chain issues that could impact the procurement process.
Qualifications & Skills:
• Experience:
• 5-10 years of hands-on experience as a Procurement Officer in interior fit-out contracting , construction , or building services in the UAE.
• Proven track record in procuring materials and managing the supply chain for large-scale interior fit-out projects.
• Education & Certifications:
• Bachelor's degree in Supply Chain Management , Business Administration , Civil Engineering , or a related field.
• Professional certifications in procurement, supply chain management, or a related area (e.g., CIPS , APICS ) are a plus.
• Skills & Expertise:
• Strong knowledge of the UAE construction market , including suppliers, subcontractors, and industry standards.
• Familiarity with procurement and purchasing processes, including RFQs , POs , and vendor management .
• Proficiency in procurement software and ERP systems (e.g., SAP , Oracle , or similar).
• Strong negotiation skills and the ability to secure favorable terms with suppliers and subcontractors.
• Solid understanding of inventory management and logistics coordination.
• Excellent organizational, time management, and multitasking abilities.
• Strong attention to detail and ability to ensure the accuracy of procurement orders and records.
• Language Skills:
• Proficiency in English (both written and spoken). Knowledge of Arabic is an advantage.
• Other Requirements:
• Valid UAE driving license (required for site visits and coordination with suppliers and subcontractors).
• Ability to work under pressure and manage tight deadlines.
• Strong interpersonal skills with the ability to collaborate effectively across teams.

Pay: AED4,500.00 - AED5,000.00 per month
