The Procurement cum Warehouse In-charge is responsible for overseeing the efficient procurement of materials and managing inventory within the store. This role includes ensuring timely ordering, stock management, quality control, and coordination with suppliers to ensure uninterrupted business operations. The individual will also be responsible for maintaining records, overseeing store staff, and implementing inventory control processes.
Key Responsibilities:
Procurement and Vendor Management:
Identify, evaluate, and negotiate with suppliers to obtain the best pricing and terms.
Manage and maintain Chinese supplier relationships.
Ensure timely procurement of materials, equipment, and products needed for operations.
Research new suppliers, products, and trends to ensure the company remains competitive.
Prepare purchase orders and ensure accuracy before placing orders.
Inventory Management:
Oversee the daily store operations, ensuring proper inventory control and stock levels.
Monitor inventory levels and reorder products to avoid stock shortages or overstocking.
Manage the receipt, storage, and issuance of goods.
Conduct regular stock checks and audits to identify discrepancies or shortages.
Ensure all items are stored correctly and that any perishable goods are used before their expiration date.
Record Keeping and Reporting:
Maintain accurate records of stock levels, orders, deliveries, and supplier performance.
Generate reports on inventory movement, procurement activities, and stock levels for management review.
Ensure compliance with company policies and procedures regarding procurement and inventory control.
Quality Control:
Ensure all goods and materials received meet the required quality standards.
Coordinate with suppliers to resolve any quality issues or discrepancies.
Team Management:
Supervise store staff and assign duties as needed.
Ensure staff adhere to safety and inventory control procedures.
Train staff on inventory management processes and procedures.
Cost Control:
Work closely with the finance department to ensure cost-effective purchasing and adherence to the company's budget.
Negotiate and secure favorable payment terms with suppliers.
Compliance and Safety:
Ensure compliance with health and safety regulations in the storage area.
Implement safety protocols for handling and storing goods.
Coordination and Communication:
Coordinate with various departments to forecast demand and plan purchases accordingly.
Communicate with management and other departments regarding stock availability, procurement timelines, and any potential delays or issues.
Qualifications and Skills:
Bachelor's degree in Business Administration, Supply Chain Management, or related field.
Candidate should have at-least 2 years of experience in sourcing vendors from CHINA.
3+ years of experience in procurement, inventory management, or a similar role.
Strong negotiation and communication skills.
Familiarity with inventory management software and tools.
Ability to multitask and prioritize effectively.
Strong attention to detail and organizational skills.
Proficiency in Microsoft Office Suite, especially Excel.
