One of our clients is currently seeking a Procurement Coordinator to be based in their Dubai office.Job Overview: The Procurement Coordinator plays a pivotal role in facilitating seamless procurement operations within the organization. This position involves overseeing the procurement process from sourcing to delivery, ensuring timely and cost-effective acquisition of goods and services.Responsibilities:
Collaborate with internal teams, vendors, and stakeholders, managing documentation, maintaining inventory levels, and contributing to strategic decision-making.
Maintaining compliance with procurement policies, negotiating contracts, and optimizing procurement processes to support organizational objectives.
Receiving Via SAP (GRN/IR/Billing).
Applying for certificate of origin (COO), generating clearance documents.
Co-ordinate with finance team to send the Clearance documents through Bank.
Arranging for Courier dispatch.
Payment Flow up with Finance from SOA till Swift copy.
Reports Via SAP. (Order dump, Advance payment invoice etc.)
Prepare export documentation for the shipment from UAE and overseas.
Coordinate with logistics and business unit for the correction of shipping documents.
Apply certificate of origin (COO) via Dubai Chamber and make payment wherever required.
Follow up with buyers and for timely submission of original documents to accounts.
Proactively monitor upcoming shipment documents to be handed over with the help/input of buyer.
Prepare and communicate auction documents based on buyer inputs.
Park Supplier invoices for Materials and Freight on time in order to process the credit supplier payments on time.
Create Billing.
Prepare Various types of documents, RFQs, RFPS, PFIs, Quotations etc.
Reach out to potential customers.
Engage closely with internal teams to understand and fulfill business requirements, ensuring seamless procurement support.
Regularly interact with management to provide updates on procurement status, address concerns, and contribute insights to strategic decision-making.
Build and foster strong cross functional relationships.
Build and maintain relationships with vendors and suppliers, negotiating terms, addressing concerns, and ensuring a reliable supply chain.
Ensure alignment of commercial activities with organizational goals.
Determine the approach for fostering and maintaining strong relationships with clients/customers.
Make decisions within standard operating procedures and company policies and procedures.
Qualifications:
Bachelor\'s degree in Business, Finance, or a related field.
Chartered Institute of Purchasing and Supply (CIPS) is a plus.
Experience of 3 to 5 years in procurement or a related field, with a preference for expertise in FMCG.
Proven track record in coordinating and executing procurement processes, including sourcing, negotiation, and supplier management.
Experience with international procurement, including knowledge of International commercial terms (Incoterms) and import/export regulations.
Experience in working with multiple legal entities under different legal umbrellas.
In-depth understanding of end-to-end procurement processes, including sourcing, purchasing, and contract management.
Knowledge of supply chain principles and practices, ensuring effective coordination from supplier to end-user.
Familiarity with procurement policies, regulations, and industry compliance standards to ensure legal and ethical procurement practices.
Meticulous attention to detail, strong communication skills, and the ability to thrive in a dynamic and fast-paced environment.
