ABOUT ROLE: PRO GRO is responsible to apply & carry out all transactions relating to company required documentation staff visas, permits, licenses, registration, liaising with various Government bodies and agencies. This position is responsible to manage and carry out all office / warehouse fit out related approves from local authorities towards completion of project end to end. Have deep understanding of all government portals & application processing (QIWA, IQAMA, MISA, COC, GOSI, Muqeem, Mudad, Ministries, Municipality, MOHRE, RTA, Civil defense, Water & Electricity Authority) etc. pose excellent knowledge to gain faster authority approvals over applications.
As an Hr. Specialist you are responsible to continuously build and deliver a seamless and positive employee experience across the whole employee lifecycle. Manage end-to-end Hr. departmental requirements, payroll, attendance, performance, visa, travel & hotel arrangements for internal and other branch office staff. Manage and maintain regulatory compliance.
PRO GRO
• Provide efficient and reliable services for all Government related matters such as license & visa new application and renewal with Ministry of Investment of Saudi Arabia (MISA), Ministry of Commerce (MC), Chamber of Commerce (COC), QIWA, Muqeem, Mudad
• Well-versed with amendment & renewal process with the following government portals: QIWA, Muqeem, Mudad. Amendment & renewal of the subscription of the National Address on the SPL portal.
• Manage Issuance of the English Commercial Registration (CR) from the MOC portal & amendment of the English translation of the company name if necessary.
• Sponsorship Transfers for non-Saudi employees residing in KSA and Iqama Issuance.
• Registration of Saudi Nationals onto GOSI and Qiwa. Work Permit and Iqama Renewal
• Exit and Re-entry Visa Issuance & Extension. Business Visit Visa issuance. Assistance with family visit visa issuance. Assistance with Family/Dependent visas
• Top-Up of the Chamber of Commerce account balance to process Chamber attestations
• Modification of employee details in their work contracts (Qiwa, GOSI)
• Health Insurance Issuance or assistance with alternative Providers. Termination of Employee Contracts in Qiwa and Deactivation from GOSI
• Provide information, and support the finance & HR department by making recommendations on best practices in order to make the process of getting residency permits faster and more efficient
• Perform any other tasks as per business needs / assigned by the management
• Manage & Liaise with Saudi Immigration and MOHRE in obtaining work permits, entry visas and visitors visas.
• Manage & liaise with embassies / foreign diplomatic missions to enable business visits when necessary
• Administer company affairs with government authorities, Immigration, MOHRE, Economic Department, Municipality, Chamber of Commerce and Ministry of Finance & Industries etc.
• Handle the issuance and renewal of certain licenses, certificates and memberships with government agencies as required such as: Car transportation license, Environmental license, Civil defense certificate, Industrial city license, Employee, etc.
• Maintain accurate records and reports for all the aforementioned services and procedures, closely collaborating with the finance department
• Process, record, and securely handle all government-related documents, ensuring confidentiality and adherence to data protection regulations. Handle online records and fulfil requirements mandated by the Ministry of Labor
• Provide expert advice to business and employees on all formalities and government related procedure
Hr. Specialist
• Provide day-to-day guidance to line management on HR functional areas including recruitment onboarding and employee relations among others
• Assess recruitment needs with department head and manage end-to-end recruitment processes, including Job posting, sourcing, interviewing, and hiring top talent for various positions within the company.
• Ensure compliance with KSA labor laws and company policies.
• Support employee life cycle management processes such as on-boarding management, HR orientation for new hires, relocation, immigration, termination, job status changes, personal data changes, internal transfers, leave management & benefit operations including relevant documentation and employee file management in accordance with legislation.
• Prepare periodic HR dashboards analyze KPIs and metrics and recommend solutions programs and policies
• Updates develop and monitor HR policies and SOP's procedures and related forms as well as job descriptions and organizational charts for all departments
• Develop contract terms for new hires promotions transfers and terminations. Ensure that probation meetings are conducted, and forms are filled in due time
• Manage and solve employee relations address performance concerns and other related issues and escalate to direct manager when and as needed
• Maintain in-depth knowledge of legal requirements local labor laws and HR best practices reducing legal risks and ensuring regulatory compliance
• Assess and improve work relationships through creating a motivating environment to increase productivity and accomplishments
• Coordinate in the planning of HR initiatives and events focused on enhancing employee engagement and company culture
Requirements
• Bachelor's degree / MBA in Human Resource / Government relations
• Holder of valid Saudi Arabia Driver's License & well-versed with local road map
• Minimum 3-5 years' experience in HR & PRO GRO works in Saudi Arabia
• Excellent at professional email drafting and telephone etiquette
• Excellent written and verbal communication skills in the English Language.
• Excellent Knowledge of Saudi Arabia laws regarding Labor & PRO GRO areas of works.
• Efficient at using all government policies, procedures & portals for visa, license application & procedures to avail and renewal of all documents
• A keen eye for aesthetics and details. Ability to work methodically and meet deadlines.
• Ability to manage complex projects and multi-task
• Relationship management skills and openness to share and receive feedback
• Ability to work under pressure and operate efficiently
• Proficiency in Microsoft Office applications and computer skills

SKILLS
• Excellent at translating documents from Arabic to English of all company legalization paper works. Strong analytical and data management skills
