We are seeking an exceptional full-time Private Charter Coordinator to manage and oversee private charter requests from start to finish. You will be the primary point of contact for all matters related to private charters, including handling Ad-hoc bookings and facilitating internal and external communications for each request. Additionally, you will leverage your charter sales experience to identify and capitalize on sales opportunities, ensuring optimal service delivery and client satisfaction.

Job Responsibilities:

Identify Cost-Saving Opportunities:

Proactively seek opportunities for cost savings through consolidations or price negotiations.

Client Request Management:

Coordinate client requests, including setting up catering, transportation, hotels, and other ancillary services.

Active Flight Following:

Monitor the progress of all in-progress trips to ensure smooth operations.

Exceptional Client Service:

Deliver outstanding service to private charter clients, ensuring all needs and preferences are met.

Trip Quoting and Planning:

Manage all aspects of trip quoting, planning, follow-up, and flight following with attention to detail.

Time Zone Coordination:

Have a strong understanding of various time zones at both origin and destination points.

Client and Crew Communication:

Serve as the direct point of contact for clients, brokers, and flight crew.

Reservation Management:

Quote, source, confirm, and input flight reservations and ancillary service requirements.

Collaboration with Flight Operations:

Work closely with Flight Operations to maintain high service standards and proactively identify potential issues that could hinder service delivery.

Client Relationship Management:

Learn and understand the unique requirements of each charter client, effectively balancing the workload for multiple clients.

Charter Sales Experience:

Utilize your experience in charter sales to identify and pursue new business opportunities, negotiate contracts, and maximize revenue growth.

Requirements:

Experience:

Minimum of 3 years experience as a Private Charter Coordinator, with proven charter sales experience.

Detail-Oriented & Organized:

Strong attention to detail and organizational skills, with the ability to multi-task under tight deadlines.

Multi-Priority Management:

Ability to manage multiple priorities efficiently in a fast-paced environment with minimal supervision.

Industry Knowledge:

In-depth understanding of FBO Operations & Airport restrictions.

Communication Skills:

Advanced written and verbal communication skills, with the ability to effectively interact with clients, brokers, and crew.

Problem Solving & Strategy:

Strategic thinker with strong problem-solving abilities.

Leadership & Analytical Skills:

Demonstrates strong leadership qualities with an analytical mindset.

People Skills:

Excellent communication and interpersonal skills, fostering positive client and team relationships.

Work Schedule Flexibility:

Willingness to work flexible hours, including weekends and holidays, as required.
