PMO Coordinator Overview:
We are seeking a highly skilled and detail-oriented PMO Coordinator with strong IT and accounting expertise to join our IT department. The successful candidate will be responsible for managing and overseeing timesheets, validating invoices against contracts and Purchase Orders (POs), and ensuring the accuracy and compliance of financial records related to IT projects. This role requires extensive experience in handling large volumes of contracts and vendor management within an IT environment.
Key Responsibilities:
Timesheet Management:
• Collect, review, and manage employee timesheets for IT projects.
• Ensure timesheet data is accurate and aligns with IT project requirements.
• Coordinate with IT project teams to resolve any discrepancies in timesheet submissions.
Invoice Validation :
• Review and validate invoices against IT contracts and POs.
• Ensure that all invoicing complies with the agreed-upon terms and conditions specific to IT services and products.
• Maintain detailed records of invoices and relevant financial documentation for IT projects.
Contract and Vendor Management:
• Manage and oversee the administration of contracts, ensuring compliance and accuracy.
• Maintain effective communication and collaboration with IT vendors.
• Track and report on IT contract performance, renewal timelines, and deliverables.
Financial Oversight:
• Utilize accounting and IT project knowledge to ensure the accuracy of financial records related to IT contracts and vendor transactions.
• Assist in budget tracking and financial analysis for IT projects as needed.
• Support the finance and IT teams in audits and compliance checks.
Requirements:
Education: Bachelor's degree in Accounting, Finance, IT Management, Business Administration, or a related field.
Experience:
Minimum of 5 years of relevant experience in project management support, accounting, or financial coordination within an IT department.
Technical Skills:
• Proficient in Microsoft Office Suite (particularly Excel), project management tools, and financial software. Familiarity with IT project management tools is a plus.
• Experience with Volume: Demonstrated experience managing 500+ IT contracts and coordinating with multiple IT vendors. o
• Communication Skills: Strong verbal and written communication skills.
Attention to Detail:
• Exceptional attention to detail and the ability to work with large sets of financial data accurately.
• Problem-Solving: Ability to proactively identify and resolve discrepancies within IT project scopes.
Preferred Qualifications:
• Experience in a PMO or IT project-based environment.
• Certification in project management or IT financial management
