Seven52 has an exciting opportunity for a Personal Assistant to the CEO / Office Manager to join our team in JLT, Dubai. In this role, you will provide high-level executive support to the CEO while ensuring the smooth running of the office operations.

As the Personal Assistant to the CEO / Office Manager, you will play a pivotal role in supporting leadership while fostering a well-organised, efficient, and positive office environment.

Key Responsibilities:

Personal Assistant Duties:

• Manage the CEO's daily schedule, including coordinating appointments, meetings, and travel arrangements.
• Act as the first point of contact for the CEO, screening emails, calls, and messages, while responding or delegating as needed.
• Prepare detailed meeting agendas, take minutes, and follow up on action points to ensure progress and accountability.
• Organise travel itineraries, flights, accommodation, and visa processes for the CEO and other key team members.
• Draft presentations, reports, and communications, ensuring accuracy and professionalism.
• Manage confidential documents and correspondence with discretion and integrity.
• Act as a liaison between the CEO and internal/external stakeholders, maintaining clear and professional communication.

Office Management Duties:

• Oversee and manage day-to-day office operations to maintain an organised, efficient, and productive work environment.
• Monitor and maintain office supplies, equipment, and inventory, ensuring timely restocking and repair coordination.
• Liaise with vendors, building management, and service providers to ensure seamless office maintenance and facility operations.
• Carry out HR tasks, including onboarding new employees, managing leave requests, updating employee records, and overseeing visa applications and renewals.
• Organise and coordinate team events, meetings, and initiatives to promote team collaboration, morale, and a positive workplace culture.
• Implement and maintain office policies, ensuring adherence to procedures and consistent compliance across the organisation.
• Administrative tasks, including processing invoices, expense tracking, and reconciling office-related payments.

Qualifications and Experience:

• Minimum 3 years of experience in a similar role as a Personal Assistant, Office Manager, or Executive Administrator.
• Prior experience in a fast-paced environment, ideally within a digital agency or creative industry.
• Excellent time management, multitasking, and organisational skills, with the ability to prioritise tasks effectively.
• Exceptional written and verbal communication skills in English.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Google Workspace and other productivity tools.
• Strong understanding of HR processes, including employee onboarding, leave management, and visa applications.
• High level of professionalism, confidentiality, and attention to detail.
• A proactive, problem-solving mindset with the ability to take initiative and work autonomously.
