Our CEO is looking for a highly organized and proactive Personal Assistant to support day-to-day activities and ensure the smooth running of operations. : We are seeking a dedicated and detail-oriented Personal Assistant to support our CEO. The ideal candidate will be responsible for a variety of tasks including hiring processes, employee ticketing and leave management, supplier sourcing, client payment follow-ups, and minute-taking during meetings. This role requires excellent organizational skills, the ability to multitask, and a proactive approach to problem-solving. Key Responsibilities:
  • Hiring Coordination:
  • Assist in the recruitment process including posting job vacancies, scheduling interviews, and coordinating with candidates.
  • Maintain records of all hiring activities and ensure timely communication with applicants.
  • Employee Ticketing/Leave Management:
  • Manage and process employee leave requests and travel arrangements.
  • Ensure accurate tracking of leave balances and travel expenses.
  • Supplier Sourcing:
  • Identify and evaluate potential suppliers.
  • Negotiate contracts and maintain positive relationships with vendors.
  • Payment Follow-Ups:
  • Follow up on outstanding payments from clients.
  • Maintain accurate records of all financial transactions and communications.
  • Minute-Taking:
  • Attend meetings with the CEO and accurately record minutes.
  • Distribute minutes to relevant parties and ensure follow-up on action items.
  • General Administrative Support:
  • Organize and maintain the CEO\xe2\x80\x99s calendar.
  • Handle correspondence and manage communications on behalf of the CEO.
  • Assist with special projects and tasks as needed.
Qualifications:
  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in recruitment processes and HR administration.
  • Familiarity with supplier management and negotiation.
  • Basic understanding of financial transactions and payment follow-ups.
  • Discretion and confidentiality.
Preferred Qualifications:
  • Bachelor\xe2\x80\x99s degree in Business Administration, Management, or a related field.
