Our CEO is looking for a highly organized and proactive Personal Assistant to support day-to-day activities and ensure the smooth running of operations. : We are seeking a dedicated and detail-oriented Personal Assistant to support our CEO. The ideal candidate will be responsible for a variety of tasks including hiring processes, employee ticketing and leave management, supplier sourcing, client payment follow-ups, and minute-taking during meetings. This role requires excellent organizational skills, the ability to multitask, and a proactive approach to problem-solving. Key Responsibilities:
Hiring Coordination:
Assist in the recruitment process including posting job vacancies, scheduling interviews, and coordinating with candidates.
Maintain records of all hiring activities and ensure timely communication with applicants.
Employee Ticketing/Leave Management:
Manage and process employee leave requests and travel arrangements.
Ensure accurate tracking of leave balances and travel expenses.
Supplier Sourcing:
Identify and evaluate potential suppliers.
Negotiate contracts and maintain positive relationships with vendors.
Payment Follow-Ups:
Follow up on outstanding payments from clients.
Maintain accurate records of all financial transactions and communications.
Minute-Taking:
Attend meetings with the CEO and accurately record minutes.
Distribute minutes to relevant parties and ensure follow-up on action items.
General Administrative Support:
Organize and maintain the CEOs calendar.
Handle correspondence and manage communications on behalf of the CEO.
Assist with special projects and tasks as needed.
Qualifications:
Proven experience as a Personal Assistant or in a similar administrative role.
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Ability to multitask and prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience in recruitment processes and HR administration.
Familiarity with supplier management and negotiation.
Basic understanding of financial transactions and payment follow-ups.
Discretion and confidentiality.
Preferred Qualifications:
Bachelors degree in Business Administration, Management, or a related field.
