Responsibilities :
Administrative Support :
- Efficiently manage the executive's calendar, encompassing scheduling meetings, appointments, and travel arrangements.
- Coordinate and formulate agendas for meetings, ensuring all required materials are readily available.
- Manage incoming and outgoing communications, including emails, phone calls, and mail.
- Draft and refine correspondence, communications, presentations, and other documents as necessary.
Office Management :
- Uphold office systems, including data management and filing procedures.
- Ensure seamless office operations by overseeing office supplies and equipment.
- Serve as a liaison between internal staff at all levels and external parties such as clients, suppliers, and stakeholders.
Travel and Event Coordination :
- Arrange travel and accommodation for the executive and team members as needed.
- Organize and oversee events, meetings, conferences, and business functions.
Information Management :
- Conduct research, gather data, and prepare documents for review and presentation by the executive.
- Maintain confidentiality with discretion and professionalism.
Project Assistance :
- Aid in report, document, and presentation preparation.
- Provide support to the executive on various projects, ensuring deadlines are met and deliverables completed.
Qualifications :
- Bachelor's degree in Business Administration, Communications, or a related field.
- Minimum of 2-3 years' experience as a personal assistant or in a similar administrative capacity.
- Real estate industry experience is preferred.
Skills and Abilities :
- Exceptional written and verbal communication skills in English and Russian.
- Strong organizational and time management abilities, adept at multitasking and prioritizing tasks.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant software.
- Willingness to travel internationally.
- Demonstrated discretion and confidentiality.
- Capable of working independently and collaboratively within a team.
- Strong problem-solving skills and keen attention to detail.
