Position Overview:


We are looking for an experienced

Payroll Specialist and Visa Process

with a deep understanding of the UAE WPS system, MOHRE procedures, payroll processing, gratuity, and final settlements. The ideal candidate will have advanced skills in

Advanced Excel

(including VLOOKUP, HLOOKUP) and experience using

Oracle HRMS

. This role will involve managing payroll input and output, ensuring compliance with UAE Labor Law and the Wages Protection System (WPS), and handling all payroll-related tasks including processing, verification, and reporting.

Key Responsibilities:



1. Visa & MOHRE Management:



Manage and process employee visas, including renewals, cancellations, new applications, and work permits, ensuring full compliance with UAE Labor Law and MOHRE regulations. Maintain up-to-date knowledge of changes in UAE Labor Law, immigration laws, and government regulations related to visa processing and employee rights. Work closely with the PRO (Public Relations Officer) to ensure all employee documentation (e.g., passports, labor cards, residency) is updated, correct, and compliant with legal requirements. Ensure timely and efficient visa processing for new hires, including entry permits, residency visas, and work permits. Handle the full cycle of visa cancellations, including exit formalities, end-of-service benefits, and final settlements.

2. Payroll Processing & Administration (including WPS Compliance):



Oversee the entire payroll process using

SAP ERP

and

MenaME

software to ensure accuracy and compliance with UAE local laws and the

Wages Protection System (WPS)

. Supervise all payroll records' input and output on the HRMS, ensuring established accuracy rates at all times. Manage the monthly payroll and incentive processes, ensuring appropriate quality assurance checks for all subsidiary companies. Ensure timely and accurate calculations of wages, overtime, bonuses, and deductions based on company policies and legal regulations. Reconcile payroll figures with the Finance department on a monthly basis for salary advances, monthly payroll, and gratuity. Calculate and process payroll for all employees, ensuring deductions and tax withholding information are correctly applied. Prepare and distribute payroll statements to employees, either electronically or in printed form. Collaborate with HR and Finance teams to ensure accurate employee data and resolve discrepancies.

3. Gratuity & Final Settlement:



Accurately calculate and process

end-of-service benefits (gratuity)

for employees as per UAE Labor Law. Handle all final settlements for employees leaving the company, including ensuring accurate calculations for gratuity, unused leave, and other end-of-service benefits. Oversee the preparation of exit documentation, including service certificates and final settlement calculations. Ensure compliance with all legal and company requirements in the processing of employee terminations and final payments.

4. Payroll Compliance & Audit:



Ensure compliance with all audit requirements regarding payroll documentation, authorizations, and regulations. Maintain confidentiality and integrity of payroll operations and ensure all data is protected under privacy and data protection regulations. Write and update payroll policies and procedures to ensure compliance and efficiency. Ensure timely dispatch of client invoices, reviewing and modifying internal processes if necessary. Prepare

Central Bank Reports

on a quarterly basis or as required by the authorities. Prepare

Monthly MIS Reports

and ensure the accuracy of payroll data at all times. Monitor all aspects of the payroll process, ensuring full compliance with the

Wages Protection System (WPS)

. Address payroll-related inquiries from employees professionally and resolve issues in a timely manner.

5. Payroll Automation & Process Improvement:



Lead automation initiatives to improve payroll efficiency and eliminate manual processes, aiming to improve overall accuracy and reduce errors. Continuously optimize HRIS and payroll systems (e.g., SAP, Oracle) for better performance, ensuring effective utilization of tools for payroll processing. Implement AI-driven payroll solutions to enhance payroll accuracy and improve the employee experience. Promote the use of self-service tools for employees and managers to streamline payroll processes.

6. Employee Records & Reporting:



Maintain accurate and up-to-date employee records in the HRIS, including new hires, terminations, salary changes, and promotions. Ensure all payroll-related documentation, including contracts, offer letters, and salary certificates, are properly prepared and maintained. Handle the administration of employee benefits, including pensions, medical care, bonuses, and allowances. Process new hires, terminations, promotions, and changes to employee payroll information accurately and in a timely manner. Generate payroll reports for management and finance teams as needed.

7. Leave Management & Benefits Administration:



Administer and monitor employee leave programs, including annual leave, sick leave, maternity leave, and other leave schemes. Ensure the accurate tracking of employee leave balances and processing of leave payments as per UAE Labor Law and company policies. Ensure that all employee benefits are administered effectively and efficiently, including medical care, pension schemes, and other allowances.

8. General Payroll Support & Administration:



Handle payroll-related queries from employees, ensuring accurate and timely resolutions. Support HR operations by ensuring timely processing of all payroll activities, including new starters, leavers, and payroll modifications. Process and manage payroll recharges between entities as necessary. Support continuous improvement in payroll procedures, working closely with HR and Finance departments to ensure the effective and efficient delivery of payroll services.

Skills & Qualifications:



Experience:

Minimum of 2 years of experience in payroll processing, visa management, gratuity calculations, and final settlements within the UAE. Hands-on experience with

MOHRE processes

, UAE Labor Law, and

Wages Protection System (WPS)

compliance. Proficient in

Advanced Excel

(VLOOKUP, HLOOKUP, Pivot Tables, Macros) for payroll reporting and analysis. Experience with

SAP ERP

,

Oracle HRMS

, or similar HRIS systems is essential. Strong knowledge of the

UAE WPS system

and its integration with payroll processes.
