Parts Procurement Executive

Job Description

  • Identify and source modification parts, spare parts, and services at competitive rates.
  • Conduct daily market surveys both online and offline in Dubai and other Emirates.
  • Adhere to business protocols and compliance standards for raising purchase requisitions and purchase orders.
  • Manage and update the Procurement department database using NetSuite and Excel sheets.
  • Ensure accurate order placements and issue detailed purchase orders (POs).
  • Send advance intimations for urgent purchases to vendors.
  • Conduct cross-departmental coordination for a seamless workflow.
  • Periodically assess the cost analysis of items to optimize procurement strategies.
  • Assess timelines before assigning jobs to vendors.
  • Regularly visit and inspect assigned jobs for quality and time duration.
  • Communicate expected completion time (lead time) and work-in-progress status to concerned departments (Warehouse, Logistics, Sales, etc.).
  • Manage existing vendors and actively participate in the induction of new vendors into the network.
  • Inspect vehicles before handing them over to assigned workshops.
  • Re-inspect vehicles after job completion to ensure proper functioning of fixed spare parts.
  • Deliver requested items to the concerned departments.
  • Acquire rental cars, new cars, stock cars, fleet, and overall insurance for vehicle registration in coordination with Logistics.
  • Manage the sending of documents, couriers, and collection of invoices from vendors.
  • Build and maintain project timelines in Excel for effective monitoring and follow-up of ongoing projects.
  • Identify shortcomings in the spare parts department and suggest improvement strategies.
  • Actively work on implementing improvements to enhance departmental efficiency.
Qualifications:
  • Bachelor\xe2\x80\x99s degree in business administration, Supply Chain Management, or a related field.
  • Proven 3-4 years of experience in procurement and vendor management.
  • Strong analytical and negotiation skills.
  • Excellent communication and coordination abilities.
  • Proficiency in Excel, CRM and other relevant software.
