Operations Assistant / Coordinator [Female Candidate Required]

Job Overview:



We are looking for a

highly organized, proactive, and detail-oriented

Operations Assistant / Coordinator to support

administrative, operational, and sales functions

. This role involves working closely with higher level management to ensure that the activities of their organization are running efficiently,

managing office operations, handling customer and vendor communication, processing reports, and ensuring efficient workflow across departments

.

The ideal candidate should have strong

organizational, communication, and ERP/data management skills

.

Key Responsibilities:



Administrative & Office Operations:



Assist in compiling routine management reports

Recommend improvements to process/procedure to seniors.

Maintain and organize records, files, and documents for

daily office activities

, including correspondence, scheduling, and document organization. Handle

purchase orders, invoicing, and data entry

in ERP software. Maintain an efficient

filing system (physical & digital)

and track appointments, meetings, and deadlines. Support with

efficient

reporting

for a wide variety of ongoing tasks including day to day operations, sales, admin, customer service, tech support, and marketing duties. Coordinate with internal teams and external vendors for smooth operations; Provide general support to visitors, staff, and clients.

Sales & Customer Coordination:



Support sales team to monitor and track

customer orders, quotations, and invoices

. Support with

reporting, client communication, and market insights

.

Digital & Marketing Support:



Assist in

managing company social media accounts and website updates

. Support branding efforts.

Qualifications & Requirements:



Bachelor's degree

in Business Administration or a related field.

Minimum 2 years

experience in administration, operations, or sales coordination (preferably in a trading company). Proficiency in

MS Office (Advanced Excel, Word, Outlook)

and

ERP software

. Strong

organizational, problem-solving, and multitasking abilities

. Excellent

communication skills in English (verbal & written)

. Ability to

handle pressure in a fast-paced environment

and work both

independently and in a team

. Experience in

customer support, vendor coordination, and bookkeeping

is a plus.
