facilitating the efficient day-to-day operations of the limousine fleet, this role includes handling reservations, scheduling and dispatching drivers, coordinating maintenance, and ensuring all vehicles and personnel meet regulatory and safety standards, and serve as a critical link between clients, drivers, and management to maintain a high level of service quality and operational excellence.
Key Responsibilities
Coordinate daily and long-term scheduling of vehicles and drivers to meet customer reservations and special event requirements.
Monitor real-time trip progress, adjusting schedules or dispatch plans as needed to accommodate delays or last-minute changes.
Oversee the availability and readiness of all vehicles, ensuring they meet safety, cleanliness, and service standards.
Work with the maintenance department to schedule and track vehicle inspections, repairs, and periodic servicing.
Review and confirm client bookings, accurately entering all details (pick-up times, destinations, special requests) into the system.
Serve as a point of contact for client inquiries, providing timely and professional responses.
Communicate trip assignments and pertinent information to drivers, ensuring they understand schedules and specific client needs.
Enforce adherence to company policies, local regulations, and safety protocols.
Assist in resolving customer concerns or complaints related to scheduling, delays, or vehicle condition.
Coordinate with internal teams (e.g., customer service, billing) to ensure a seamless client experience.
Maintain accurate records of trip details, operational metrics, and incident logs.
Prepare regular performance reports (e.g., on-time metrics, fleet utilization) for the Limousine Operations Manager.
Qualifications
Bachelor's degree in Business Administration, Logistics, Hospitality, or a related field preferred.
Prior experience in transportation, hospitality, or fleet coordination is highly desirable.
Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
Excellent communication and interpersonal skills to interact effectively with clients, drivers, and management.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and familiarity with fleet management software.
Quickly addressing operational challenges and client concerns in a calm, effective manner.
Working closely with drivers, fellow coordinators, and other departments for smooth operations.
Ability to adapt to last-minute schedule changes and client requests.
