The ideal candidate will be responsible for monitoring daily tasks, handling major escalations, and ensuring smooth operations. This role will require close interaction with team members, internal departments, and sometimes guests. Strong attention to detail and multitasking abilities are essential.Key Responsibilities:Daily Schedule Coordination: Organize and manage the daily schedule of team members, ensuring that all tasks are properly allocated and tracked.Same-Day Coordination: Ensure efficient same-day coordination of tasks and schedules, adjusting as needed based on urgency or availability.Task Management: Assign, track, and check in/out tasks and requests for team members, ensuring timely completion and high-quality results.Task/Request Extraction and Viewing: Extract tasks/requests from various sources and view them for delegation and follow-up.Team Roster Management: Regularly update the monthly team roster, ensuring all team members are accurately accounted for and scheduled.Reporting: Update and maintain both daily and weekly reports to track team performance, task completion, and any major escalations.Issue Tracking: Monitor and track issues or complaints from clients and team members, ensuring that they are addressed promptly.Community Passes & Email Access: Manage and apply community passes, as well as handle email access permissions for the team.Internal Department Coordination: Collaborate and coordinate with internal departments such as Housekeeping, GRO, and others as required to ensure efficient operations.Key, Card, and Remote Management: Oversee the release of keys, cards, and remotes, ensuring proper record-keeping for all issued items.Task Allocation: Allocate and delegate tasks to respective team members or departments (Housekeeping, GRO, etc.) based on work requirements.Guest Coordination: Occasionally communicate with guests to ensure seamless coordination and service.Multitasking & Time Management: Effectively manage multiple tasks and projects simultaneously, ensuring that deadlines are met.Administrative Support: Perform other similar administrative and operational tasks as assigned by management.Requirements:Proficiency in Microsoft Office, especially Excel, for report tracking and task management.Strong organizational and time-management skills, with the ability to prioritize tasks effectively.Excellent communication skills, both written and verbal.Strong attention to detail and accuracy in task execution.Ability to work under pressure and handle escalations in a professional manner.Prior experience in coordinating teams or managing operations is preferred.Ability to interact professionally with guests, team members, and internal departments.Additional Skills:Multitasking and project management abilities.Strong problem-solving skills.Ability to stay calm and efficient in high-pressure situations.
