The Role
VHR is an international, technical recruitment company headquartered in London supplying contract and permanent technical and professional staff to our clients within the Aerospace & Aviation, F1 & Motorsport, Engineering & Defence and Marine sectors. VHR currently employs circa 90 members of staff across its 7 global offices and generates a turnover of over 35M annually. The Company's medium term aim is to grow to 150 people and 75M turnover within the next 3-5 years. The Role: The onsite coordinator acts as an extension of our Customer's HR and administration function. They are responsible for the timely and smooth delivery of all VHR contingent workers from their domicile location to VHR's Customer work location. Following arrival, the onsite coordinator will ensure the contingent workers are settled in and happy with their living arrangements etc and will monitor performance of the services provided by the contingent workers to the Customer for the duration of the assignment. The onsite coordinator is responsible for the strengthening of the VHR/Customer relationship by successful ongoing management of the contingent workers through efficient expedition of the roles and responsibilities listed below, and, providing simultaneous assistance to the Customer in relation to the Customer's internal processes and operational needs. Supporting VHR, and all VHR contingent workers in respect of: o Assist with contingent workers travel arrangements as and when required. o Assist with visa, residents permit, ID processing / renewal o On going management of accommodation and transport o Coordinate arrival of each contingent worker to accommodation and provide welcome brief o Coordinate arrival into the Customer facility at commencement of their assignment o Obtain all required forms and passes for each contingent worker at the commencement of their contract in order to create an arrival (and subsequently a departure) file o Local presence and support to the Customer and the contingent workers in respect of problem resolution o Act as an intermediary, thereby removing the need for direct Customer management of contingent worker issues other than those directly relating to the technical operation for which they have been contracted. o Provide first hand support for integrating and localising contingent workers into new country and new team o Confront and resolve any issues and queries at a local level o Provide a friendly face on the ground who can assist the contingent workers with work related and any personal issues o Process timesheets ensuring receipt of all timesheets from each contingent worker (inclusive of authorising signatures) and relay the required paperwork to VHR Accounts team o Ensure the filing of local documentation is controlled in a professional and exhaustive manner at all times and where possible, duplicated in soft copy filing in an organised fashion o Maintain and develop local procedures keeping in a local VHR procedures manual o General administration duties o Provide general support assistance to the Customer as and when required o Training: scheduling & tracking the contingent worker's trainings o Exit Clearance Process: Offboarding (all clients) o Recruitment: recruitment trips, interview/selection next to client, pipeline, referencing and liaising directly with recruitment partner o Use of VHR's internal CRM system o Assist and facilitate any recruitment requirements identified by the Customer/ VHR when tasked and ensure rapid distribution of new requirements to VHR's offices as and when received. Key Responsibilities: o Document Collection (new starters) o Visa/Labour Application & Follow-up (can include cancellations) o MOHRE Offers & Contracts o Medical Insurance Applications (can include dependents; tracking of premiums) o Bank Details o Database Management o Timesheet Management/Payroll SS and Data Input - double checking pay/charge rates (more varied than with Etihad) o Repatriation & Annual Leave Ticket
Requirements
• Highly-organized with a strong attention to detail o Self-managed: can prioritize own tasks and plan ahead o Communication and ability to interact comfortably with stakeholders o Being assertive and not afraid to ask questions o Ability to work under pressure and meet deadlines o You must be available to work in the UAE o You must be available to interview onsite in the UAE o Must have a valid driving licence and vehicle o Written and spoken fluency in English (imperative) o Excellent communication and interpersonal skills o Experience of working within a HR role o Ability to work with local authorities & within guidelines o Understanding of timesheets o Strong IT, organisational & Administration skills o Experience of working with Microsoft packages o Strong numeracy skills & attention to detail o Hard working & reliable
