The Office Secretary is responsible for providing administrative and clerical support to ensure the efficient operation of the office. This role involves managing communication, organizing schedules, maintaining records, and coordinating with various departments to support overall organizational objectives. Key Responsibilities: Administrative Tasks Answer and direct incoming phone calls professionally and efficiently. Prepare, format, and proofread documents, correspondence, and reports. Maintain and update filing systems, ensuring confidentiality of sensitive information. Schedule meetings, appointments, and conferences for the management team. Monitor and order office supplies to ensure the office runs smoothly. Communication Act as a point of contact between employees, clients, and external stakeholders. Handle incoming and outgoing mail, emails, and couriers promptly. Maintain a positive and professional demeanor when interacting with clients and visitors. Organizational Support Manage calendars, coordinate travel arrangements, and prepare expense reports for senior management. Assist in planning and executing company events, meetings, and training sessions. Maintain office equipment and ensure they are in working condition. Data Management Enter and update data in office systems and databases. Generate and distribute internal and external reports as requested.
