Job Description

The Office Manager is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. This role requires discretion, flexibility, and the ability to handle sensitive and confidential information. The ideal candidate will be proactive, organized, and capable of multitasking in a fast-paced environment.

EXPERIENCE & QUALIFICATION

• 3+ years of experience as an Office Manager Assistant, preferably supporting C-level executives.
• Experience with managing multiple projects
• High level of emotional intelligence required.
• Bachelor's degree in business administration, Management, or a related field preferred.

JOB RESPONSIBILITIES

Human Resources:

• Assist with recruitment and onboarding of new employees.
• Maintain employee records according to policy and legal requirements.
• Address employee queries regarding office management issues (e.g., stationery, hardware, and travel arrangements).

Facility Management:

• Ensure the office is well-maintained, clean, and safe for all employees.
• Liaise with facility management vendors, including cleaning, catering, and security services.

Technology and Communication:

• Build and manage SharePoint systems for efficient operations.
• Manage office IT infrastructure, including computers, network, and software.
• Provide basic IT support and coordinate with external IT support when necessary.
• Ensure the office communication systems are operational and efficient.

Administrative Support:

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
• Exceptional organizational and time-management skills.
• Strong written and verbal communication skills.
• Manage and maintain the busy calendar, including scheduling meetings, appointments, and travel arrangements.
• Coordinate logistics for meetings, conferences, and events, both domestically and internationally.
• Taking minutes and creating action lists.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Conduct research, compile data, and prepare reports for review.
• Handle incoming and outgoing communications, including emails, calls, and mail, ensuring prompt and professional responses.

Project Management:

• Assist in the planning and execution of special projects and initiatives.
• Track project progress and provide updates to the executive.
• Coordinate with internal and external stakeholders to ensure project timelines are met.
• Ability to work independently and handle multiple tasks simultaneously.

Relationship Management:

• Build and maintain relationships with key business contacts, clients, and stakeholders.
• Act as a liaison between the executive and internal/external parties.
• Coordinate and manage communications, ensuring timely and effective follow-up.
