The Office Manager will oversee and coordinate daily office operations to ensure organizational effectiveness, efficiency, and safety. This role involves managing administrative procedures, supervising staff, and handling various operational tasks to support the company's objectives.?
Key Responsibilities:
Administrative Management:
Develop and implement office policies and procedures to enhance operational efficiency.?
Oversee the maintenance of office facilities and equipment, ensuring a safe and productive work environment.?
Manage office supplies inventory, anticipating needs, placing orders, and ensuring cost-effectiveness.?
Human Resources Support:
Assist in the recruitment process, including posting job openings, screening candidates, and conducting interviews.?
Facilitate onboarding and training for new employees, ensuring a smooth integration into the company.?
Maintain and update employee records in compliance with company policies and legal requirements.?
Financial Administration:
Assist in budget preparation and monitor office expenditures to ensure alignment with financial plans.?
Handle accounts payable and receivable, process invoices, and manage payroll functions.?
Prepare financial reports and summaries for management review.?
Communication and Coordination:
Serve as the primary point of contact for internal and external communications, including handling correspondence, phone calls, and emails.?
Coordinate meetings, appointments, and travel arrangements for staff and executives.?
Organize company events, conferences, and workshops to promote team cohesion and professional development.?
Compliance and Record-Keeping:
Ensure the office complies with health and safety regulations and company policies.?
Maintain accurate and up-to-date records, including confidential and sensitive information.?
Develop and manage filing systems, both electronic and physical, to ensure data integrity and accessibility.?
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field preferred.?
Proven experience in office management, administrative support, or a similar role.?
Strong organizational and multitasking skills with attention to detail.?
Excellent communication and interpersonal abilities.?
Proficiency in office software (e.g., MS Office Suite) and familiarity with office equipment.?
Knowledge of basic accounting principles and experience with budgeting and financial reporting.?
Ability to lead and motivate staff, fostering a positive and productive work environment.?
