Our company is looking for a multitasking candidate to manage and coordinate on office administration and HSE duties and procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
To be a successful hire, you will need to have prior experience in office administration and HSE activities. You will also need to be proficient in Microsoft Office applications and online sysems. You must possess excellent written and verbal communication skills. A bachelor's degree is required.
Responsibilities:
Overseeing general office operation. Producing reports, correspondence, and drafting new contracts. Creating presentations and other management- level reports.
Supervising and maintaining the day-to-day operations of the office, ensuring a smooth and efficient working environment.
Handling internal and external communication, including emails, phone calls, and other correspondence.
Managing and organizing company documents, records, and files. This may involve creating and maintaining filing systems.
Organizing and scheduling meetings, preparing meeting agendas, and taking minutes.
Overseeing administrative staff and delegating tasks as needed.
Managing office supplies, equipment, and other resources to ensure the smooth functioning of the workplace.
Implementing and enforcing company policies and procedures.
Addressing administrative issues and solving problems as they arise.
Systems: Managing, troubleshooting, licensing, and updating hardware and software assets. You will ensure that appropriate measures are proactively followed in response to unforeseen issues in IT. Online & Portal, etc. experience with a variety of office software packages (email tools, spread sheets and databases) is required. Extensive Systems knowledge is a must.

Shipping & Customs: Must have good knowledge of all local & International procedures, rules & regulations, ability to coordinate with shipping lines and overseas. Tracking shipment, coordinate with Courier companies, price negotiations, etc;
HSE
Must have extensive knowledge of local rules and can prepare documents independently. Coordinate with customers and all depts and manage contracts. Report preparation
Supports the Management in the HSE Policy and Guidelines.
Supports the Management in the Organization roles and responsibilities definition, for what concerns safety aspects.
Supports the Management in the HSE Management System standard policies.
Ensures, in accordance with the corporate guidelines, the implementation, updating, review and auditing of the Company HSE Systems.
Monitors the effective implementation of appropriate Safety and Environment System procedures and provide for their updating in line with changes in Legislation and Company Directives.
Provides for motivation and familiarization of all Company personnel respecting the importance of complying with Company system procedures and all Safety equipment provided.
Assists the Commercial, Engineering and Operations Department in their dealings with Clients in all issues concerned with Health and Safety at work.
Conducts safety audits both internal and external.
Takes part in accident / incident investigation.
Carries out analysis of accident / incident statistics, identifying trends and suggesting improvement plans.
Provides technical support to Senior Management on any safety related subjects.
Carries out any in-house safety training.
Carries out safety audits on Sub-contractors.
Requirements:
A bachelor degree or equivalent in Engineering.
Three - Five years of experience in Office administration and HSE activities in a similar field in the UAE.
Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint and systems, coordinate with IT team on system issues.
