Job Summary:
The Office Administrator plays a crucial role in ensuring the smooth and efficient operation of the office. This position is responsible for managing day-to-day administrative tasks, supporting staff, and maintaining a productive work environment. The ideal candidate will be organized, proactive, and capable of handling a variety of tasks simultaneously.
Administrative Support:
• Manage and maintain office operations, including answering phones, handling mail, and overseeing supplies.
• Assist with scheduling meetings, appointments, and travel arrangements for staff.
• Prepare and distribute correspondence, reports, and presentations as needed.
• Provide general support to visitors and ensure a welcoming office environment.
Office Management:
• Organize and manage office files, records, and documentation, ensuring confidentiality and security.
• Coordinate maintenance and repairs of office equipment and facilities.
• Monitor and order office supplies, managing inventory to ensure availability.
• Implement and maintain office policies and procedures.
Financial Administration:
• Assist with basic bookkeeping tasks, including invoicing, expense tracking, and budget monitoring.
• Process and reconcile invoices and payments, working closely with the finance team.
Human Resources Support:
• Assist with onboarding new employees, including preparing orientation materials and setting up workspaces.
• Maintain employee records and support HR-related activities, such as organizing training sessions and company events.
• Coordinate staff schedules, leave requests, and timesheets.
