Job Summary:

The Mobile Vehicle Inspection Coordinator & Assist Manager will be responsible for coordinating daily routes for mobile vehicle inspections between drivers and clients. This role requires excellent route planning skills, optimizing arrival times to clients to maximize time efficiency and increase productivity. The coordinator will also be responsible for adding new appointments for each mobile inspection vehicle and ensuring that the maximum number of clients are served in a single day. Success in this role relies heavily on the ability to organize and analyze geographical routes to plan trips effectively. Additionally, the role includes fleet management and vehicle maintenance to ensure that the vehicles are operating in optimal condition, and regularly submitting schedules and client data to the Roads and Transport Authority (RTA).

Key Responsibilities:

• Route and Trip Coordination :
• Organize and coordinate daily routes between drivers and clients.
• Determine the closest and most efficient routes to minimize time and maximize the number of clients served each day.
• Appointment Management :
• Add new mobile inspection appointments for all vehicles.
• Ensure all appointments are accurately listed in the driver schedules and regularly updated.
• Client and Driver Communication :
• Facilitate communication between drivers and clients to ensure adherence to scheduled appointment times.
• Resolve any issues that arise during trips or with clients promptly.
• Geographical Route Analysis :
• Analyze available routes to identify the nearest and farthest appointment locations.
• Use mapping and route optimization software to plan the best routes and travel times.
• Time and Resource Management :
• Develop daily operational plans for drivers to ensure that the maximum number of clients is reached.
• Organize work schedules to maximize time efficiency and minimize downtime between inspections.
• Performance Monitoring & Quality Assurance :
• Monitor driver performance to ensure that routes and trips are executed as planned.
• Ensure that all inspections are carried out on time and meet the required quality standards.
• Reporting :
• Provide daily or weekly reports to the direct manager regarding operational progress, challenges, and opportunities for improvement.
• Prepare reports on visit rates and overall performance of mobile inspection vehicles.
• Process Improvement :
• Continuously seek ways to improve route efficiency and reduce operational costs.
• Identify and implement solutions that improve customer experience and service quality.
• Fleet Management :
• Ensure that all mobile vehicles are well-maintained and in good working condition.
• Manage vehicle maintenance schedules, repairs, and necessary upgrades to ensure consistent fleet performance.
• Coordinate with maintenance teams and workshops to ensure timely servicing and repairs according to schedules.
• Regularly check the condition of vehicles to ensure readiness before each trip.
• Submit Schedules & Client Data :
• Regularly submit trip schedules and client data to the Roads and Transport Authority (RTA).
• Ensure that all client and appointment information is up-to-date and accurate in the reports submitted.
• Coordinate with the RTA to confirm trip schedules and ensure compliance with relevant regulations and requirements.

Required Qualifications & Skills:

• Bachelor's degree in Business Administration, Logistics, or a related field.
• Minimum of 2 years of experience in coordination or operations management, preferably in inspection or logistics services.
• Strong analytical skills in route planning and trip organization.
• Proficiency in using route management and mapping software.
• Excellent communication skills with clients and team members.
• Ability to work under pressure and manage time effectively.
• Proficiency in MS Office; experience with scheduling software and digital maps is a plus.
• Experience in fleet management and vehicle maintenance.
• Ability to work with government agencies, such as the Roads and Transport Authority (RTA), and submit required reports and data.

Preferred Qualifications:

• Prior experience in logistics coordination or mobile vehicle inspection management.
• Knowledge of fleet management systems or route planning technologies.

Work Conditions:

• Full-time position with some travel required as needed.
• Flexibility in working hours and the ability to coordinate schedules with clients at any time throughout the day.

Job Objective:

This role is critical for ensuring the efficient operation of mobile vehicle inspections by maintaining smooth coordination between drivers and clients, while ensuring the proper maintenance of mobile inspection vehicles. The goal is to optimize time usage and maximize the fleet's productivity, serving as many clients as possible on a daily basis.

Job Type: Full-time

Pay: From AED1.00 per month
