Job Description

The MEP Document Controller is responsible for managing, organizing, and ensuring the proper flow of all MEP-related documentation throughout the lifecycle of a project. This includes maintaining accurate records of project documents, ensuring compliance with company standards, and assisting with document retrieval and storage for construction teams, engineers, and other project stakeholders.

Key Responsibilities:



Document Management:

Receive, classify, and file all incoming and outgoing MEP-related documents, including drawings, technical specifications, contracts, reports, and correspondence. Ensure documents are filed in accordance with company procedures and project requirements. Maintain an organized filing system (both digital and physical) for easy retrieval of documents when needed.

Document Control Process:

Establish and maintain a robust document control system for all MEP-related project documents. Track document revisions, ensuring that only the latest version of documents is used on-site. Coordinate document distribution to the appropriate project team members, subcontractors, and suppliers.

Project Documentation Support:

Provide document management support to MEP teams, ensuring that all documents are up-to-date and readily accessible. Assist in the preparation of submittals, transmittals, and RFIs (Requests for Information). Ensure that all documentation complies with project specifications and standards.

Version Control & Revision Tracking:

Monitor and track document revisions, ensuring that the latest versions are updated and available to all stakeholders. Implement version control systems to track document history and ensure proper archiving. Coordinate the approval and revision process for all project-related documentation.

Compliance & Quality Control:

Ensure that all documents are in line with project contractual and regulatory requirements. Perform regular audits of the document management system to ensure compliance with industry standards. Ensure all project documentation is completed, accurate, and delivered on time.

Communication & Coordination:

Act as a liaison between the MEP team and other departments, including procurement, construction, and project management. Coordinate with external stakeholders, including subcontractors, vendors, and consultants, to ensure document accuracy and timely submission. Assist in organizing and maintaining the documentation associated with project meetings, such as minutes and action items.

Archiving & Documentation Retrieval:

Archive completed project documentation and ensure it is stored in a secure and accessible manner. Ensure proper labeling and cataloging of documents for easy retrieval at later stages of the project.

Training and Support:

Assist with training team members on document control procedures and software tools. Provide support for new team members in understanding the document control system and workflows.

Required Skills and Qualifications:



Education

: Bachelor's degree in Construction Management, Engineering, or related field (preferred).

Experience

: Minimum of 3-5 years of experience in document control, preferably within the MEP or construction industry.

Technical Skills

: Proficiency in document management software (e.g., Procore, Aconex, SharePoint, or similar tools) and Microsoft Office Suite.

Organizational Skills

: Strong ability to manage multiple tasks and maintain organization in a fast-paced environment.

Attention to Detail

: Exceptional attention to detail to ensure accuracy and consistency in document management.

Communication Skills

: Strong verbal and written communication skills, with the ability to liaise effectively with project teams and stakeholders.

Time Management

: Ability to prioritize tasks and meet deadlines in a project-driven environment.
