Executive Secretary to CEO

to join React group specializing in Media and Events.

Key Responsibilities



Executive Secretary to CEO:

Calendar Management

: Organize and maintain the CEO's calendar, schedule appointments, meetings, and travel arrangements.

Correspondence Handling

: Manage and prioritize incoming emails, phone calls, and other communications on behalf of the CEO.

Meeting Coordination

: Prepare agendas, take minutes, and follow up on action items for meetings with internal and external stakeholders.

Document Preparation

: Draft, proofread, and edit reports, presentations, and other official documents for the CEO.

Travel Arrangements

: Plan and book business travel, including flights, accommodations, and transportation for the CEO.

Confidentiality Management

: Handle confidential and sensitive information with discretion and professionalism.

Project Assistance

: Assist with research, special projects, and provide general administrative support to the CEO.
Receptionist:

Front Desk Management

: Greet visitors, answer phone calls, and direct inquiries to the appropriate personnel.

Visitor Coordination

: Ensure proper visitor check-in, provide guest badges, and notify relevant staff of visitors' arrival.

Mail and Package Handling

: Sort and distribute incoming mail, packages, and deliveries.

Office Supplies Management

: Monitor and maintain office supplies inventory, ordering replacements as necessary.

General Office Support

: Assist with filing, data entry, and maintaining the cleanliness and organization of the office reception area.

Qualifications:



Proven 5 years of experience in a similar role (preferably in Media/Events) Strong communication and organizational skills Proficiency in MS Office and office management software Excellent time management and multitasking abilities
