You must be able to perform general office duties such as scheduling appointments, organizing meetings, maintaining files, answering phone calls, and handling inquiries. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate must have the ability to take initiative and prioritize daily tasks.Responsibilities:
Support the team in daily administrative tasks, such as scheduling meetings, preparing materials, and organizing files
Handle and coordinate active calendars
Schedule and confirm meetings
Direct the flow of mail, faxes, and deliveries to reach the intended recipients
Coordinate travel arrangements, visa applications, renewals, and cancellations for the staff and their dependents
Keep inventory of office supplies & equipment as well as branded materials
Liaise with IT for email set-up, technical issues, or server issues
Ensure file organization based on office protocol
Provide ad hoc support around the office as needed
Greet incoming visitors and direct appointments, assist with reception duties
Assist accounts in handling and documenting expenses
Assist with research and database management as needed
Support in formatting client proposals in Word or PowerPoint
Assist in event planning and execution
Assist in website updates and maintenance
Assist in the production of marketing collateral, ensuring professional presentation
Follow up on the implementation of marketing strategies and campaigns
RequirementsTo be considered for this role, you need to meet the following criteria:
Bachelorxe2x80x99s degree or equivalent experience
Strong clerical skills
Attention to detail and organizational skills
Ability to prioritize and multitask
Excellent written and verbal communication skills
Proficient in MS Office Suite and other relevant software
Familiar with marketing strategies and campaign management
Prior experience in a similar role is preferred
Knowledge of legal terminology and processes is a plus
