Marketing Admin and Accountant
We are a dynamic marketing agency seeking a detail-oriented and highly organized Marketing Assistant and Admin to support our marketing department while managing various administrative and operational tasks. This role will involve finance coordination, influencer marketing, event support, human resources, social media management, and general office administration. The ideal candidate will be proactive, efficient, and capable of managing multiple responsibilities in a fast-paced agency environment, supporting both the creative and operational sides of our business.
Duties and Responsibilities:
Admin Tasks:
• Manage Calendar & Scheduling: Coordinate and manage the team's calendar to ensure meetings and appointments are scheduled without conflicts.
• Email Management: Organize and prioritize incoming and outgoing emails, ensuring prompt responses and follow-ups.
• File Organization: Maintain and organize company and client files and documents, ensuring secure and accessible storage.
• Permit Filing: Assist with filing permits for shoots, events, and promotions to ensure compliance with deadlines and regulations.
• Team Management: Ensure the team meets Key Activity Performance (KAP) deadlines by tracking progress and providing necessary support.
• Database Management: Update and maintain the influencer database, ensuring current and accurate information is always available.
• Administrative Support: Provide general administrative assistance to the marketing team, including meeting preparation, report generation, and managing office tasks.
Finance Coordination:
• Invoice Coordination: Work closely with the accounts team to ensure client invoices are prepared and sent out on time.
• Payment Follow-up: Track overdue payments and work with the accounts team to follow up with clients for timely payment collection.
• Cheque Handling: Collect and deposit company cheques and ensure proper documentation.
• Expense Collation: Collect and compile invoices related to company expenses and team-related costs for accurate accounting.
• Team Expenses & Reimbursement: Assist with managing team expenses and reimbursement requests, ensuring accuracy and compliance with company policies.
Human Resource Support:
• Attendance Monitoring: Track and monitor team attendance daily, ensuring adherence to schedules and company policies.
• Leave Auditing: Maintain accurate records of employee annual leave, ensuring compliance with leave policies and procedures.
Event Support:
• Event Assistance: Assist in the planning and coordination of client events, ensuring all logistics, materials, and activations are prepared and executed flawlessly.
• Material Management: Help with the preparation and management of event materials, promotional items, and any physical or digital content needed for activations.
• On-site Support: Provide on-site assistance during events, ensuring smooth operations and assisting with activations, guest management, and logistics as required.
• Event Follow-up: Assist with post-event activities, including feedback collection, reporting, and debriefing with the team and clients.
