The candidate will work on projects involving these technologies and various execution strategies, with construction starting in August 2024 and continuing through 2030. Expectations

The Site Office Manager will be responsible for overseeing the administrative and operational functions of the Duba Energy Park project site. Their key responsibilities include ensuring facilitation of daily operations, supervision of administrative office resources, efficient support to project teams, facilitation of effective communication and coordination among project teams.

Approach (Roles & Responsibilities)

The Site Office Manager will establish and maintain office policies and procedures, ensuring all site documentation is updated organized and accessible. Manage the day-to-day operations of the site office, including facilities management, logistics, and administrative staff. Establish, manage and report on site office budget, including tracking expenses and procurement of office supplies. The Site Office Manager will oversee administrative staff and coordinate with project managers, subcontractors, and other stakeholders. The Site Office Manager will ensure compliance with health, safety, and environmental policies within the office premises, conducting regular site inspections and audits. The Site Office Manager will handle communication and correspondence, including arrangement of meetings and preparation of related agendas, meeting minutes, site reports, and other relevant documentation. The Site Office Manager will manage the scheduling and logistics for site visits, including arrangement of accommodations, security, catering and transportation for visiting executives or clients, in coordination with relevant project functions as and when required. The Site Office Manager will handle operational human resources functions for the site office, in coordination with Human Resources department of ENOWA generation and with the relevant line management, including staffing and training processes, and including monitoring of compliance with labour laws. The site office manager will address any issues related to site office operations, in coordination with the relevant line management as and when required.

Desired Outcomes/outputs

Effective management of the site office operations, including but not limited to office supplies, equipment, logistics and facilities. Timely and accurate administrative support to project teams, including but not limited to scheduling meetings, preparing reports, and managing correspondence. Proper documentation and record-keeping of project-related documents, contracts, permits, and technical specifications. Coordination with stakeholders, including project managers, contractors, and suppliers, to ensure smooth project execution. timely and accurate information flow between the site office and headquarters, efficient administrative project coordination. administrative and site office efficiency in alignment with project and NEOM requirements. ensuring a productive work environment. Compliance with health and safety regulations at the site office and promotion of a safe working environment. Budget management and monitoring of expenses related to site office operations. Supervision and guidance to administrative staff working at the site office.

Qualifications and experience

Degree in Business Administration, Management, or a related field Additional certifications in office management or HR are beneficial Minimum of 7 years in office management, executive assistant or administrative management functions; experience in a construction site or engineering environment will be an advantage Strong organizational, administrative and multitasking abilities Excellent communication and interpersonal skills, good leadership and team management abilities Proficiency in office management software and tools Knowledge of health, safety, and environmental regulations Detail-oriented with a focus on efficiency and problem-solving.
