We are looking for a proactive and efficient
Male Office Assistant
to provide comprehensive administrative and clerical support to our
aluminum and glass factory.
This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.
General Administrative Duties:
Communication:
Answering and directing phone calls.
Managing emails and other correspondence.
Greeting and assisting visitors.
Record Keeping:
Maintaining and organizing files (both physical and electronic).
Data entry and database management.
Preparing and processing documents.
Office Management:
Ordering and maintaining office supplies.
Scheduling appointments and meetings.
Handling mail and deliveries.
Financial Tasks:
Assisting with invoicing and processing payments.
Keeping track of expenses.
Industry-Specific Responsibilities:
Project Support:
Assisting with the preparation of project proposals and quotations.
Tracking project progress and deadlines.
Organizing and distributing project-related documents.
Material and Inventory Management:
Assisting with tracking material inventory.
Processing purchase orders for materials.
Communicating with suppliers.
Technical Document Handling:
Managing and organizing technical drawings and specifications.
Assisting with the distribution of blueprints and other technical documents.
Potentially helping to translate technical terms to clients or other non technical staff.
Customer Service:
Handling customer inquiries and providing information about products and services.
Assisting with order processing and tracking.
potentially assisting with scheduling installation appointments.
Coordination:
Coordinating between the factory floor, sales team, and clients.
Key Skills:
Familiar with AutoCad
Proficiency in Microsoft Office Suite.
Excellent communication and interpersonal skills.
Strong organizational and time-management skills.
Attention to detail.
Ability to work independently and as part of a team.
The ability to become familiar with industry specific terminology.
Qualifications:
Bachelor's degree or diploma of any course, advantage if Engineering graduate
(Civil, Mechanical, or related field).
Proven experience of at least 5 years as an Office Assistant or in a similar administrative role in Aluminium, Glass or in Metals Industry.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
