About the Role:
We are seeking a highly organized and proactive Administrative Coordinator to join our dynamic technical services team. In this role, you will act as the critical link between our customers and our internal technical staff, ensuring smooth coordination, timely service delivery, and excellent client satisfaction.
This position is ideal for someone who thrives in a fast-paced environment, is detail-oriented, and excels at managing communication, scheduling, and documentation.

Key Responsibilities:
Serve as the primary point of contact between clients and the technical team (Imaintain).
Follow up with incoming leads via phone, email, or messaging platforms.
Schedule and coordinate service appointments, ensuring technicians are dispatched on time.
Track job progress and update clients accordingly.
Handle administrative tasks including preparing job cards, service reports, invoices, and other documents.
Maintain accurate records of client interactions, job statuses, and technician schedules using tools like Monday.com and Excel.
Work closely with the operations and management teams to streamline workflows.
Ensure customer satisfaction by addressing concerns promptly and professionally.
Assist in reporting and basic analysis of service metrics and team performance.

Requirements:
Previous experience in an administrative or coordinator role (preferably in a technical, maintenance, or service-based industry).
Excellent communication skills - both written and verbal.
Strong organizational and time-management skills.
Proficiency in digital tools such as Monday.com, Microsoft Excel, Google Workspace, and CRM systems.
Ability to multitask and manage priorities under pressure.
A proactive problem-solver with a customer-first mindset.
Familiarity with service workflows or dispatch systems is a plus.
