ABOUT ROLE: Logistic Supervisor for overseeing the day-to-day activities of a team and department to ensure productivity, quality, and efficiency. • Plan and coordinate the transportation, setup, and collection of musical instruments for various events.
• Create and maintain detailed schedules to ensure timely delivery and setup based on event requirements.
• Develop and implement logistics strategies for events of varying scale and complexity.
• Create detailed event logistics plans, including timelines, resource allocation, and contingency plans.
• Source and negotiate with vendors and suppliers for transportation, equipment, and other event needs.
• Ensure timely delivery of goods and services while maintaining quality standards.
• Prepare and manage logistics budgets, ensuring adherence to financial guidelines.
• Identify cost-saving opportunities without compromising on quality or timelines.
• Collaborate with transport providers, technicians, and other external partners to guarantee seamless operations.
• Periodically train, and manage logistics teams, including on-ground staff, drivers, and coordinators.
• Delegate tasks effectively and ensure team alignment with event goals and schedules.
• Source and manage additional rental equipment when necessary.
• Maintain and monitor the inventory of musical instruments to ensure availability and condition.
• Implement tracking systems to monitor the movement of instruments during events.
• Lead a team of logistics staff, including drivers and setup crews, providing clear instructions and oversight.
• Ensure staff are trained in handling and setting up delicate musical instruments.
• Oversee the proper setup, tuning, and positioning of instruments at event venues.
• Address on-site challenges, such as technical issues or last-minute changes, efficiently.
• Ensure all instruments are handled safely and set up to meet performance and aesthetic standards.
• Supervise the setup, execution, and teardown of event logistics, ensuring smooth operations.
• Conduct pre- and post-event quality checks on all instruments.
• Supervise the teardown and safe return of all instruments and equipment to the warehouse.
• Compile post-event reports to assess logistical efficiency and identify areas for improvement.
• Vendor and Supplier Coordination, Logistics Planning for Musical Instruments, Inventory Management, Team Supervision, On-Site Event Management, Safety and Quality Assurance, Post-Event Evaluation
• Ensure compliance with local regulations, permits, and safety standards.
• Conduct safety checks and briefings to mitigate risks during event execution.
• Oversee the recovery and inventory of all equipment and materials post-event.
• Prepare post-event reports, highlighting successes and areas for improvement.

Requirements

• Bachelor's degree in Event Management, Logistics, Business Administration, or a related field.
• Proven experience (5+ years) in logistics or event management roles, with at least 2 years in a leadership position.
• In-depth knowledge of event logistics, transportation, and vendor management.
• Knowledge of Musical Equipment: Familiarity with different types of instruments and their care requirements.
• Organizational Skills: Ability to plan and execute multiple events simultaneously.
• Leadership: Skilled at managing and motivating teams
• Problem-Solving: Quick thinking and adaptability in high-pressure scenarios.
• Communication: Clear and professional communication with clients, vendors, and team members.
• Tech Proficiency: Familiarity with logistics software, inventory tracking tools, and MS Office Suite.
• Attention to Detail: Ensuring every instrument and setup meets high standards.

• Valid UAE Driving Holder with own car
• Candidate from Event industry
