Reporting to the Operations Manager, the positionwill support logistics movements as required and engage in all logistics activities as dictated by the role. Occasionally, the Logistics Coordinator may also be asked to carry out activities related to new systems or processes that arise from local or global strategies.
The position requires pro-active interaction with the Warehouse department, project teams including advising Project Managers and Engineers, of the current status of logistics movement requests and any delays or issues. Close liaison with Purchasing department to keep updated of delivery status for hired goods and assets to ensure financial costs are accurately captured.
The Logistics Coordinator will have the following responsibilities:
Arrange and coordinate freight forwarding services for the delivery and collection of goods and assets to meet project and business requirements; Maintain an auditable electronic filing system of import/export records ensuring retention of all Customs related records in accordance with business needs and Customs requirements. Including the use of correct Harmonisation System (HS) Codes, written import and export clearance instructions and associated information; Ensure that all export and import requirements are followed as per company processes and will adhere to Customs or other legal authorities' conditions; Monitor accuracy of company appointed Custom Brokers/Agents' data entry and submissions against all received paperwork, clearance and/or discharge instructions; Liaise with Global Fugro entities and participate in the development and implementation of measures to improve the efficiency of the logistics services and reduce third-party costs; Liaise with responsible parties to close out any anomalies in relation to goods values, Harmonisation System (HS) Codes, Procedure Codes, shipping costs, insurances and shipping instructions; Ensure any relevant Custom approvals and authorisations are maintained; Contribute to departmental & global KPIs by ensuring best value by obtaining quotes, monitoring delivery performance and supporting savings targets; Provide professionalism, effectiveness and efficiency by delivering bottom line cost savings; Identify cost reduction opportunities, and partnerships to bring more value to the business; Actively reinforce general and legal compliance and requirements regarding quality, health, safety, sustainability and environment ("QHSSE") within the role.
EXPERIENCE & KNOWLDEGE Previous experience as a Logistics Coordinator in a freight forwarding agency or within a logistics department dealing with import and exports; Working knowledge and experience of utlising logistics software and tracking databases; Practical working knowledge of logistics activities import and export procedures; Preparation and full participation in Customs audits; Proficiency in relevant computer applications including MS Word and Excel Setting up and maintaining detailed electronic customs record filing systems A trade or customs compliance role, within an AEO accredited organisation; Experience of internal and/or external audit relating to customs activities; Actively focused on achieving sustainable results with a passion for success; Ability to work well alongside peers, colleagues, managers and partners; Supports both internal customers and external suppliers by being attuned to their needs, adding value and builds strong relationships; Strong communication skills to nurture strong, collaborative relationships with a wide range of stakeholders, at all levels; Basic QHSSE, legal and compliance knowledge Previous work experience in Qatar and knowledge of Qatar logistics regulations will be an advantage
