We are hiring an ASSISTANT COMMERCIAL - PURCHASE/ACCOUNTS for GIRBAU in DUBAI

We have 6 manufacturing plants in Spain, France and China, and equipment installed in more than 130 countries including entire Middle East.

Position Title: Assistant Commercial - Purchase/Accounts

Work Location: Jabel Ali Freezone - Dubai

Salary Package: AED. 4000 + Accommodation & Transportation

Position Overview:

The Assistant Commercial for Purchase/Logistics/Accounts is responsible for overseeing the procurement, order processing, and logistics functions within the organization. This role ensures that all sales orders are accurately tracked and processed on time, and that stock is reserved as needed. The coordinator will also manage supplier relationships, oversee export and import documentation, and be responsible for managing procurement, logistics, and accounting functions within the organization.

Key Responsibilities:

1. Order Processing

o Prepare purchase orders (POs) for both local and foreign suppliers.

o Coordinate with suppliers for order acknowledgments and provide updates to customers.

o Verify order acknowledgments against POs for pricing and specifications.

o Manage spare parts POs and maintain status reports.

o Communicate payment requirements to the Accounts Department.

2. Stock Reservation

o Reserve stock for incoming orders based on availability and requests.

3. File Management

o Record and process sales orders from the Sales Department promptly.

o Monitor unprocessed orders due to pending payments or letters of credit.

4. Logistics Coordination

o Obtain and compare freight costs from forwarders and appoint agents.

o Coordinate shipment movements and ensure insurance coverage.

o Ensure accurate import documentation for customs clearance.

o Collaborate with the Accounts and Warehouse Departments regarding POs and delivery.

5. Export Management

o Prepare shipment release authorizations with Accounts Department approval.

o Arrange export shipments and manage documentation for smooth clearance.

6. Accounts Management

o Verify purchase invoices and ensure accurate posting in the accounting system.

o Conduct costing analysis to support financial decision-making.

o Manage banking transactions, including receipts and payments, and prepare journal vouchers for company purposes.

o Record all prepaid and accrual entries in compliance with accounting standards.

o Ensure all transactions adhere to FTA (VAT and CP) regulations.

o Prepare payments (local and international) in accordance with agreed terms with suppliers.

o Process salaries based on timesheets and manage payments via the WPS system.

o Support forecasting, budgeting, and tax return preparations by providing necessary data.

o Maintain organized e-filing systems for all accounting data, ensuring easy access as required.

7. Other Responsibilities

o Prepare weekly reports on stock, direct sales, and price list updates.

o Handle Letter of Credit (L.C.) documentation and Girbau stock updates.

Qualifications:

Bachelor's degree in business administration, Supply Chain Management, Accounts or a related field.

2-3 years of accounting experience in the UAE, ideally in export-import or trading environments.

Proven experience in procurement, logistics, or supply chain operations.

Proficient in SAP Accounting software, Microsoft Excel, QuickBooks, etc.



Preferred Skills:

Experience with VAT and JAFZA customs regulations.

Knowledge of international trade regulations and documentation processes.
