Job Summary The Legal Affairs and Administration Manager will oversee legal and administrative functions for a group of companies, including the management of trade and media licenses, government interactions, contract renewals, and legal compliance. This role is critical in ensuring regulatory compliance, supporting litigation matters, handling labor and visa processes, and facilitating cross-verification of financial and operational records. The ideal candidate will have strong legal knowledge, excellent administrative skills, and be adept at managing governmental and legal tasks.Key Responsibilities * Trade and Media Licenses
Manage renewal processes for trade licenses, media licenses, Chamber of Commerce certificates, and P.O. boxes for all group companies.
Track license renewal dates and ensure all necessary documentation and fees are submitted on time.
Labor and Immigration Management
Execute the process for new visa quotas with the Ministry of Labor (MOL) and manage inspections for quota approvals.
Process new visa applications through MOL and Sharjah Immigration departments, ensuring all applications meet regulatory standards.
Cross-verify all labor supply worker overtime reports and monthly labor supply invoices.
Legal Case Handling
Represent the company in legal cases at Sharjah and Dubai courts as instructed by management.
Obtain case clearance certificates and maintain records of case outcomes.
Financial Cross-Verification and Approval
Verify and approve monthly utility bills, medical expenses, labor supply invoices, and petty cash vouchers across departments.
Ensure accuracy and timely submission of bills to the Finance Department for processing.
Vehicle and Property Management
Manage vehicle mortgage clearances, Dubai parking permits, and renew tenancy contracts for group offices.
Coordinate annual maintenance contracts with the Civil Defense department as required by the Ministry of Interior.
Security and Site Management
Oversee the duty roster for factory and site security teams, coordinating with Arabian Security Management Services.
In the event of a site accident, work with the project team to launch police complaints and provide necessary legal support.
Staff and Visitor Coordination
Arrange hotel accommodations and travel visas for new managerial staff, clients, and staff visiting from Oman.
Documentation and Compliance
Draft and issue circulars, warning letters, and memos as required.
Ensure compliance with local regulations and coordinate with internal departments to implement policies and procedures.
Other Duties
Handle any other tasks as assigned by the management team.
Job Requirements & Qualifications
Education: Bachelor\'s degree in law, Business Administration, or related field.
Experience: Minimum of 5 years of experience in legal affairs, government relations, or administrative management, preferably within a group of companies or a similar industry.
Skills:
Strong understanding of local and federal laws and regulations.
Proficiency in managing government relations and administrative tasks.
Excellent cross-verification and attention to detail.
Fluent in English and Arabic.
Technical Skills: Proficient in Microsoft Office Suite, familiarity with online government portals.
