Purpose:
Leasing Operations Manager will take care and direct the daily activities of the leasing team (up to 8 -10 members) in achieving the leasing goals set by the senior management. Leasing Manager will act as a facilitator for all leasing related activities from inception to close including showing, negotiating, documentation, co-ordination and administration for the various aspects of the leasing process. Building community and industry knowledge he/she will be involved in connecting people to the community, keep accurate records, and train and collaborate with talented teammates.
Main duties and responsibilities:
Manage and direct, sales and leasing activities to achieve the leasing goals set by the Director of Sales or General Manager
Ensure through continual training and mentoring that the team provides the highest caliber of service to potential clients
Ensure that the composition of the team is optimized and that all members are performing at peak
Create reward programs and events that will stimulate staff motivation and performance monitor the daily performance of the team and report on the performance related to achieving the established revenue targets
Ensure that all members of the leasing force are properly trained and motivated to achieve the company's revenue targets
Hold regular meetings with the team
Maintain a tracking database of all portfolio leasing matters
Customer Service Orientation:
- Ensure professional communication with PSI clients by presenting PSI in the best image
- Exceed Client's expectations by providing the best approach in meeting client's needs and requirements
- Abide by a PSI code of conduct by appearing formal, elegant, and being professional all the time.
- Answering and responding to telephone inquiries and schedules site visits as per PSI policy
- Accompany buyers during visits to and inspections of the property, advising them on the suitability and value of the property they are visiting
- To maintain SLA for response time and follow up with the client
- Contacting leads immediately and meeting the client ASAP and providing a solution
- All client communications need to be done the through PSI official number and follow email equities
Business Development
Establish and build long term effective positive and professional working relationships with internal and clients
Understand the product and market (apartment, property, neighborhood, demographics) to better serve clients
Make all efforts to keep up to date with the market trends, upcoming property developments, and average prices of various areas along with maintaining appropriate records in the master key system
Establish and maintain effective relationships with clients to facilitate business and address any customer complaints
Schedule for photography of apartments, property exteriors and common areas
Coordinate with the Marketing Department ensuring that daily listing inventory, especially hot deals are published; check for accuracy of the provided information
Check on a daily basis external portals and PSI website
Arrange open houses on a weekly basis
To Achieve Tenant satisfaction within the limits and conditions
Establish and maintain effective relationships with the customer to facilitate business and address any customer complaint
Establish and maintain a comprehensive reporting system for all sales and leasing achieved and to ensure that frequent and accurate reports are made to the Director of Sales
Productivity and Budgetary performance
Represent leasing function's views and needs in the ongoing development of overall company policy and contribute to the preparation of the annual departmental budget and marketing plan.
Prepare seamless application packages in an organized and truly manner and submit for approval and process with Higher Management
Review the collections situation to ensure collections are made as per plan and take corrective measures in case of delays
Establish and maintain a comprehensive reporting system for leasing team achieved and to ensure that frequent and accurate reports are made to the General Manager
Organize, direct and manage the leasing activities to achieve agreed revenue targets
Knowledge:
Project Knowledge:
- Knowledge and up to date on projects' information/descriptions
- Make sure to pass all project knowledge tests provided by PSI
- Knowledge using the database system, Customer Relation Management (CRM), HRIS
Real Estate Knowledge:
- Strong capabilities in and deep understanding of financial demonstrating and market research
- Supporting and incentivizing players who are venturing into new asset programs in real estate
- Up-to-date knowledge of our website & assure communication with the marketing team for any feedback, advice, suggestion.
- Knowledge of the UAE market including all competitive properties, area and customer demographics and available media
Administrative:
Keeping daily, weekly and monthly track of all team members' attendance
Completely planning, implementing & tracking Annual Leaves; Sick Leaves and ensuring following of leave and attendance policy
Assigning and clearly categorizing daily, monthly, weekly duties
Conducting daily team meetings
Ensuring Constant communication and coordination with Marketing Team and Listing Team
Meeting the deadlines for submitting the documents for all the closed deals
Ensuring all team members work on Master Key and HRMS and following necessary processes
Qualifications
5 years of relevant work experience in sales, Leasing
An Attested Bachelor's degree
Driver's License (Must)
Excellent communication and negotiating skills with people (both verbal and written)
Experience in advertising sales to small and medium-size local businesses is desirable
Strong leadership abilities and outstanding interpersonal skills
Technical proficiency with word processing, spreadsheet, sales tracking, and customer relationship management software
Ability to think and plan strategically, plan, manage and act to achieve outcomes
Fluent in written and spoken English and Arabic
Highly self-motivated, career orientated team players with an energetic and enthusiastic approach to their work
Demonstrated ability to secure leases and provide sales leadership and training
Excellent problem solving and Decision-making skills
