The Leasing Assistant supports the leasing team in day-to-day operations, providing administrative support, assisting with property showings, and maintaining relationships with current and prospective tenants. This role helps ensure the smooth leasing process by managing inquiries, organizing tenant documentation, and assisting in the leasing and marketing of properties.
Key Responsibilities:
Assist Leasing Manager and Leasing Agents in scheduling property showings and tours for potential tenants.
Respond to inquiries via phone, email, and in-person, providing information about available units and the leasing process.
Prepare and maintain leasing documents, including rental applications, lease agreements, and renewal forms.
Ensure that all paperwork is complete and accurately processed for new tenants, renewals, or move-ins.
Follow up with prospective tenants after showings and help convert leads into signed leases.
Assist with answering tenant inquiries and resolving minor concerns.
Maintain regular communication with tenants regarding lease renewals, move-ins, and other updates.
Maintain an organized filing system for tenant records, lease agreements, and other relevant documents.
Assist with administrative tasks such as preparing reports, data entry, and maintaining leasing software.
Ensure that property information (e.g., available units, pricing, amenities) is up-to-date on marketing platforms and listings.
Assist in developing and distributing marketing materials, both online and offline.
Help post and update property listings on various real estate websites and social media platforms.
Participate in organizing open houses and other leasing events to promote available properties.
Conduct property tours for prospective tenants, providing details about the property, amenities, and available units.
Highlight key features of the property, answer questions, and address concerns during tours.
Assist with the tenant move-in process, including unit preparation and ensuring all necessary paperwork is completed.
Provide tenants with move-in instructions and ensure they have all the required information for a smooth transition.
Assist in processing lease renewals and handling any necessary paperwork.
Keep track of lease expiration dates and follow up with tenants regarding renewal options.
Ensure that the property's common areas are well-maintained and presentable for showings.
Report any maintenance requests or issues to the Property Manager.
Requirement:
Bachelor's degree preferred.
Minimum 2 years of experience in real estate, property management, or customer service is a plus.
Strong communication and interpersonal skills.
Proficient with Microsoft Office Suite or similar software; knowledge of property management software a plus.
Excellent organizational skills and attention to detail.
Ability to multitask and work in a fast-paced environment.
Positive, customer-focused attitude.
