Responsibilities:
• Responsible for day to day long-term enquiries (inbound), and renewal process of existing leases. To prepare and send the quotation, follows up on quotations, negotiating with clients/management and take all effort
to convert the enquiry.
• Effectively maintain lead report, update status. Circulate and present leads report to management during the weekly meeting.
• Prepare the lease as per SOP and ensure the approvals secured and maintain special approvals as per DOA.
• Reconcile the in-house reports between Opera and ERP.
• Maintain the Master in-house yearly leases and circulate the updated report on weekly basis after reconciling with Opera and ERP property management system.
• Coordinate and assist the Finance Department with the aging report, to ensure that overdue balance is followed up by highlighting any pending issues with the sales account holder.
• Coordinate and execute tasks as per the approved procedures related to invoice requests and online memos pertaining to credit notes, refund, asset transfers, Legal instructions, credit facility application, purchase requests, etc.
• Manage lease renewal process as per SOP including rate recommendation, renewal notice, follow-up, negotiation and payment. oCoordinate between the Leasing and Admin divisions and frequent follow-ups to ensure quick and effective turnaround of the leasesrelated process and formalities.
Perform competition research and analysis and submit the report and recommendation to the management.
• Prepare tenant profiles and accurate database for each tenant category to facilitate information retrieval and ensure proper follow-up system.
• Assist corporate and individual guest's needs and requirements.
• Liaise with marketing department to develop sales kit, marketing collaterals and factsheet.
• Maintain smooth handover with the technical and facility teams post signing the lease agreement to ensure smooth transition to post lease phases.
• Maintain constant updates of the inventory reports and ensure frequent follow ups with the sales team on the status of the proposals sent to tenants.
• Liaise with other departments to ensure efficient leasing operations.
• Arrange frequent meetings with other departments i.e. Venues Management and keep record of events taking place in the venue to contact the events' organizers for potential residential bookings.
Experience:o Graduate of Business Administration/Bachelor's Degree holder.
• 3 years' experience as Sales and Admin.
