Job Description

The Leasing Administrator plays a crucial role in supporting the leasing team by ensuring smooth operations, accurate data management, and efficient lease coordination. This position involves managing administrative tasks, maintaining leasing databases, collaborating with internal teams, and ensuring the timely processing of transactions. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to thrive in a fast-paced real estate environment.

Key Responsibilities:



Administrative & Data Management



Maintain and update the availability list for vacant units, ensuring accuracy. Keep the Monthly Occupancy Report current and assist in occupancy trend analysis. Enter and update leads in the GoYzer CRM system, ensuring agent updates are completed. Manage and update the tenant waiting list to prevent double bookings. Ensure non-managed listings meet required standards and are properly documented before approval. Organize and save invoicing documents in collaboration with the Finance team for efficient processing.

Leasing Coordination & Client Communication



Distribute weekly Move-in trackers for client follow-ups and prevent delays. Send Move-in emails to new tenants and coordinate with the FM team for seamless communication. Log fund transfers in the Work Flow system for proper tracking. Allocate call center (Raya CX) leads to agents for prompt follow-ups. Send weekly reminders and monitor commissions to ensure timely completion of bookings. Follow up on pending bookings and contracts to avoid delays. Notify the team and management of deal cancellations and coordinate with relevant departments. Ensure completed bookings are shared with appropriate teams for smooth handovers. Confirm closed bookings via email and update live booking records with correct lead sources.

Process & System Optimization



Ensure the efficient use of GoYzer CRM for deal tracking and leasing activities. Monitor CRM utilization by leasing agents and report technical issues to the CRM Manager. Assist in preparing Rental Comparisons and Market Analysis for strategic decision-making.

Skills, Knowledge and Experience:



Education



Bachelor's degree in Business Administration, Real Estate, or a related field (preferred but not required).

Experience



Experience in real estate leasing administration or a related administrative role. Strong knowledge of CRM systems (e.g., GoYzer, Salesforce, Zoho) and leasing workflows.

Technical Skills



Proficiency in MS Office Suite, particularly Excel for data tracking and reporting. Understanding of real estate leasing processes and document management. Ability to manage multiple tasks, prioritize efficiently, and meet deadlines.

Soft Skills



Excellent communication and coordination skills to interact with clients, agents, and internal teams. Strong attention to detail with the ability to maintain accurate records. * Problem-solving mindset with the ability to work independently and collaboratively.
