Job Title: Leasing Administrator

Job Summary: Responsible for managing all leasing activities, providing administrative support, and ensuring efficient operations within the leasing department. Must have a strong organizational skill, attention to detail, and the ability to handle multiple tasks in a fast-paced environment. The Leasing Administrator will interact with tenants, property managers, and other stakeholders to facilitate the leasing process and maintain positive tenant relations.
Key Responsibilities:
• Lease Administration:
• Prepare, review, and manage lease agreements and related documents.
• Ensure all lease documents are complete, accurate, and compliant with company policies and legal requirements.
• Maintain and update lease files and records, both physical and electronic.
• Track lease expirations, renewals, and terminations, ensuring timely processing and communication.
• Tenant Relations:
• Serve as the primary point of contact for current and prospective tenants.
• Address tenant inquiries, concerns, and requests promptly and professionally.
• Coordinate tenant move-ins and move-outs, ensuring a smooth transition process.
• Financial Management:
• Assist in the preparation and management of budgets for leasing activities.
• Monitor rent payments, security deposits, and other financial transactions related to leasing.
• Prepare and distribute monthly rent statements and delinquency notices.
• Marketing and Leasing:
• Assist in the development and implementation of marketing strategies to attract new tenants.
• Conduct property tours for prospective tenants and provide detailed information about available units and leasing terms.
• Maintain up-to-date knowledge of market trends, competition, and tenant needs.
• Reporting and Compliance:
• Generate regular reports on leasing activities, occupancy rates, and other key metrics.
• Ensure compliance with all local, state, and federal regulations related to leasing and property management.
• Assist in the preparation of audit materials and respond to audit inquiries as needed.
• Administrative Support:
• Provide administrative support to the leasing and property management team.
• Schedule and coordinate meetings, appointments, and events.
• Maintain office supplies and ensure the office environment is organized and professional.
Qualifications:
• Bachelor's degree in Business Administration, Real Estate, or a related field preferred.
• Minimum of 2 years of experience in lease administration, property management, or a related role.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software (e.g., Yardi, MRI).
• Strong organizational and multitasking skills with attention to detail.
• Excellent communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Knowledge of real estate leasing laws and regulations.
Working Conditions:
• Full-time position, Monday to Friday, with occasional evenings and weekends as needed.
• Office environment with some travel to property sites as required.
