About the Role:We are looking for a detail-oriented and proactive individual to join our team as an IT Administration Officer. In this role, you will be supporting and streamlining our IT operations through effective administrative coordination, documentation management, and project support.Key Responsibilities
  • Administrative Coordination: Manage administrative tasks for the IT team, including leave applications, time sheets, and general correspondence.
  • Inter-Departmental Coordination: Facilitate effective communication between IT teams and other departments to ensure alignment with business needs.
  • Reporting: Compile and distribute periodic IT operations reports, including systems performance, incident resolution, and resource allocation.
  • Project Support: Act as the administrative liaison for IT projects, coordinating between internal teams and external stakeholders (vendors, service providers).
  • Calendar Management: Schedule meetings, training sessions, and events for the IT department. Assist in organizing IT-related events such as cybersecurity awareness sessions.
  • Document Control: Implement a robust system for handling IT documentation, ensuring compliance with data protection policies.
  • Information Security: Oversee the cybersecurity awareness program, including designing and implementing training modules, phishing simulations, and reporting on effectiveness.
  • Active Directory Management: Collaborate with HR to maintain accurate user accounts in Active Directory, ensuring up-to-date access rights and roles.
  • Approval Coordination: Track and prepare necessary documentation for IT approval requests, including procurement or service contracts.
  • Data Management: Maintain an updated IT asset management database, providing visibility into resources, project statuses, and operational metrics.
  • Research and Presentation Support: Conduct research on IT trends, tools, and procedures. Assist in preparing reports and presentations for IT discussions or management updates.
  • Facilities and Vendor Coordination: Coordinate with facility management for IT-specific office needs and liaise with vendors to ensure service delivery per contractual obligations.
  • Budget Management: Assist in preparing and updating the IT budget, including software licenses, hardware maintenance, and training costs.
  • Policy and Procedure Oversight: Ensure compliance with IT policies and procedures, keeping documentation up to date as policies evolve.
  • Perform additional tasks as assigned by the Direct Manager.
Qualifications:
  • Education: Bachelor's degree in Business Administration, Information Technology, Computer Science, or a related field.
  • Certifications: CompTIA Network+, ITIL Foundations, or vendor-specific certifications (Microsoft, Azure, CISCO) are advantageous.
Work Experience:
  • Minimum of 3 years of experience in an administrative or office support role (e.g., Administrative Assistant, IT Support).
  • Experience in an IT environment (helpdesk support, basic networking, or software management) is beneficial.
  • Project coordination experience is a plus.
Knowledge & Skills:
  • IT Systems: Understanding of basic IT systems, hardware, software, network components, and IT security basics.
  • Office Management: Familiarity with office management procedures, including scheduling, document management, and workflow optimization.
  • Administrative Software: Proficiency in Microsoft Office Suite or similar tools, familiarity with IT service management tools like ServiceNow is a plus.
  • Communication: Excellent verbal and written communication skills.
  • Organizational Skills: Strong ability to manage multiple tasks, prioritize effectively, and maintain organized records.
  • Problem-Solving: Analytical skills to troubleshoot administrative and IT-related issues efficiently.
  • Interpersonal Skills: Ability to work across departments and with vendors to ensure smooth IT operations.
  • Cybersecurity Awareness: Basic knowledge or willingness to learn about cybersecurity protocols and contribute to staff education.
  • Documentation: Proficiency in creating and managing documentation for IT processes, policies, and procedures.
  • Technical Skills: Basic knowledge of IT tasks (setting up user accounts, network issues, software licensing).
