Human Resources Operations Officer
1. Job Summary
This position is responsible for a wide range of Human Resource (HR) functions, including employee relations, benefits administration, compliance, performance management, training and development, data and reporting, onboarding, and offboarding. The ideal candidate will be a highly organized and detail-oriented individual with a strong understanding of employment laws and regulations.
2. Responsibilities
The HR Generalist will perform the following duties:
Employee Relations:
• Address employee concerns, conflicts, and grievances.
• Conduct investigations when necessary and recommend appropriate actions.
• Promote a positive workplace culture and employee engagement.
Benefits Administration:
• Oversee employee benefits programs, including health insurance, retirement plans, and other benefits.
• Assist employees with benefits-related inquiries and issues.
• Collaborate with benefit providers to ensure accurate and timely administration.
Compliance and Policy Management:
• Ensure compliance with federal, state, and local employment laws and regulations.
• Update and maintain HR policies and procedures.
• Educate employees on policies and procedures.
Performance Management:
• Support the performance appraisal process and assist in the development of performance improvement plans.
• Provide guidance and training to managers and employees on performance management.
Training and Development:
• Identify training and development needs and create training programs.
• Facilitate training sessions or coordinate with external trainers.
• Monitor employee training and development progress.
Human Capital Data and Reporting:
• Maintain Human Capital records and databases.
• Generate reports on Human Capital metrics, such as turnover, headcount, and diversity.
• Assist with Human Capital analytics to improve decision-making.
Onboarding and Offboarding:
• Coordinate the new hire orientation process (previously under On-Boarding & Induction).
• Manage the exit process for departing employees (previously under Off-Boarding).
• Encodes the candidates' information on the Web HR to be able to generate the internal offer letter (previously under On-Boarding & Induction).
• Requests all the login credentials prior to joining of the employee (previously under On-Boarding & Induction).
• Prepares all the assets and work stations depending on their designation and department (previously under On-Boarding & Induction).
• Adds the employee on the Web HR + CRM and share their credentials after conducting the orientation (previously under On-Boarding & Induction).
• Informs the Learning and Development Coordinator to enroll them in the PSI Academy in coordination with the digital adoption lead (myleads + CRM) (previously under On-Boarding & Induction).
• Sends emails to concerned departments concerning the needed resources and devices for new comers (in cooperation with On-Boarding Executive) (previously under On-Boarding & Induction).
• Process Resignation/termination requests submitted via Web HR or email, providing guidance and adjusting where necessary (previously under Off-Boarding).
• Communicates with PR team for Visa Cancellation (if Any) (previously under Off-Boarding).
• Follow up with the Line Manager that a proper handover was done (previously under Off-Boarding).
• Recoveries of Company assets as per off-Boarding checklist (previously under Off-Boarding).
• Deletes their computer access and remove all personal files and settings from their workstation (previously under Off-Boarding).
• Conduct an exit interview for employee who is leaving the business (previously under Off-Boarding).
• Adds the salary payslips and final settlements for the leaving employees (previously under Off-Boarding).
• Prepares separation documents for departing employees, and notify various key departments as necessary, of intent to separate (Via Web HR) (previously under Off-Boarding).
• Approaches X-staff to sign off on visa cancellation and follow up with them on EOS, visa and MOL status (previously under Off-Boarding).
Asset Management:
• Monitors & tracks the assets issued to employees like Mobile, Tab, sim card, laptop etc.., in WEBHR (previously under Asset Management).
• Updates Internal tracker of issuance (previously under Asset Management).
• Coordination with respective department for the Issuance of new Assets (IT & other dept.) (previously under Asset Management).
• Issues the Assets during onboarding & recover the same during the exit procedure (previously under Asset Management).
• Requests sim cards, mobile phones, laptops, headphones and other accessories (previously under Asset Management).
General:
• Takes Health, Safety & Environment (HSE) lead in ensuring "safe systems of work" and "safe conditions" are in place within area of responsibility (previously under General).
• Performs other similar or related duties as required or assigned by management (previously under General).
3. Qualifications & Experience
A. Educational Requirements/Qualifications:
• Bachelor's degree in human resources, Business Administration, or a related field (Master's degree preferred).
• Certification such as SH
