Profile Requirements: Qualifications and Skills:
• Professional appearance and courteous manner.
• Organizing and coordinating skills.
• Proficient in MS Office Excel and office management software.
• Solid time-management abilities with the ability to prioritize tasks.
• Excellent communication abilities, adaptability, and flexibility.
• Knowledgeable with any HR or Accounting System.
Proven experience in visa management
• Visas, and Insurance: Proven experience in handling, visas, and employee health insurance tasks to ensure smooth operations and compliance with local regulations.
• Coordinating the visa processing of employees. All processes pertaining applications, renewals, cancellations, and transfers.
• Ensuring compliance with immigration laws and regulations.
• Liaising with government authorities, embassies, and consulates regarding visa matters.
• Keeping accurate records of visa-related / Trade license related documentation and deadlines.
Wage Protection System (WPS) Management:
• Assist in overseeing the implementation and maintenance of the WPS system to ensure timely and accurate payment of employee wages.
Office Management:
• Ensure the smooth running of our office on a day-to-day basis. This includes managing office supplies, maintaining office conditions, and coordinating all office administration duties to meet our high standards of operational excellence.
• Management and monitoring of Company Assets.
HR Management:
• Play a crucial role in the onboarding process of new employees by providing them with the necessary tools and information to start their journey with us successfully. You will be the go-to person for all new hires, helping them acclimate to our company culture and procedures.
• Provide orientations for new employees by sharing onboarding packages and explaining company policies.
• Ensuring full compliance with company policies and procedures
• Managing employee relations
Employee Records Management:
• Maintain employee records (soft and hard copies)
• Update HR databases (e.g. new hires, separations, vacation, and sick leaves)
• Assist in payroll preparation by providing relevant data, like absences, bonus, and leaves.
• Process employees' requests and provide relevant information.
• Coordinate HR projects, meetings, and training seminars.
• Collaborate with the Recruiter to post job ads on careers pages and process incoming resumes.
• Organize and schedule appointments.
• Plan meetings and take detailed minutes.
• Write and distribute email, correspondence memos, letters, faxes, and forms.
• Assist in the preparation of regularly scheduled reports.
• Develop and maintain a filing system.
• Update and maintain office policies and procedures.
• Prepare paperwork for HR policies and procedures.
